We’re hiring a full-time Operations & Project Support Specialist to help keep sales, projects, marketing execution, and content operations running smoothly.

This role is about execution, organization, and follow-through. You’ll handle a mix of administrative operations, project coordination, and cross-functional support—making you an essential part of our operations.

What You’ll DoYou’ll support multiple parts of the business with clear, well-scoped work. Typical responsibilities include:
Sales & Operations Support- Keep CRM records up to date (deals, notes, follow-ups)
- Support proposal preparation and tracking
- Send recap emails and help schedule next steps
- Flag missing information or stalled follow-ups
- Track and organize contracts, proposals, and project documentation
- Assist with invoice coordination and basic financial tracking
- Support project managers with scheduling, status updates, and client communication
- Maintain and update project management tools (Teamwork, calendars, time tracking)
- Turn meeting notes into clear task lists
- Help keep project tools and documentation organized
- Track status and surface blockers
- Support meeting logistics and follow-ups
- Help prepare client-facing materials such as status reports and presentations
- Enter and format website content
- Publish blog posts, newsletters, or resources
- Help organize marketing assets and documents
- Perform basic QA and consistency checks
- Coordinate internal meetings, including scheduling, agenda preparation, and note-taking
- Assist with onboarding new team members and contractors
- Identify opportunities to improve internal processes and workflows
- Support the leadership team with administrative tasks as needed
- Maintain internal documentation and knowledge base resources
- Keep systems tidy and up to date
- Communicate clearly when something is unclear or blocked
- Follow checklists and improve them over time
You are:
- Reliable and consistent
- Detail-oriented with strong organizational skills
- A clear and professional communicator (both written and verbal)
- Proactive—you anticipate needs before they become problems, ask for clarification when you’re uncertain, seek out ways to contribute when blocked
- Comfortable juggling multiple priorities in a fast-paced environment
- Someone who takes pride in getting things done right the first time
- Able to make progress when work is ambiguous
You should be comfortable:
- Working across multiple tasks and priorities with a mix of supervision and independence
- Following instructions and asking questions when things are unclear
Experience with the following is helpful but not required: - Google Workspace (Docs, Sheets, Calendar, Drive) - Project management or task tracking tools (Teamwork, Asana, Monday, or similar) - Scheduling and calendar management - Writing professional emails and client-facing communications - Working in a remote or distributed team environment
Bonus points for:
- An interest in technology
- Experience in a digital agency, consulting, or professional services environment
- Familiarity with time tracking and invoicing tools (e.g. Harvest)
- Basic understanding of web/mobile application development terminology and processes
- Experience with Slack and remote collaboration tools
- Strong written English (required)
- Full-time availability (40 hours/week)
- Must work within US PST–EST business hours
- Reliable internet and ability to work remotely
No specific experience or tool mastery required. If you’re dependable, communicate clearly, and take pride in doing things well, we’re interested.
Compensation & Structure- Full-time, contractor role
- $2,400–$3,000 USD per month, depending on experience
