DeliverThat is looking for an Operations Project Manager with a dual-role responsibility of providing high-level administrative, organizational, and project-based support to senior leadership. This role requires a dynamic professional with exceptional organizational skills, a proactive approach, and the ability to manage complex schedules while driving key projects to completion. The PM will serve as a central hub for communication, ensuring the executive's priorities are met and strategic initiatives are advanced.

Key Responsibilities

1. Executive and Administrative Support

  • Manage a complex calendar, including scheduling internal and external meetings, appointments, and travel.

  • Screen and prioritize incoming correspondence (emails, calls, memos), routing or responding as appropriate to optimize the executive's time.

  • Prepare and edit correspondence, presentations, and reports, ensuring a high level of professionalism and accuracy.

  • Organize and maintain confidential files, documents, and records.

  • Process expense reports and manage invoicing/budget tracking for the executive's office.

  • Serve as the primary point of contact for internal and external stakeholders on matters pertaining to the executive.

2. Project Management and Coordination

  • Lead small-to-mid-sized internal projects from initiation to closure, including defining scope, objectives, and deliverables.

  • Develop and maintain comprehensive project documentation, including project plans, status reports, risk logs, and resource allocation.

  • Monitor project progress, track milestones, and ensure deadlines are met by coordinating with cross-functional teams.

  • Facilitate and document project meetings, capturing action items and ensuring follow-through.

  • Assist the executive in preparing for strategic meetings, often by compiling relevant data, research, and presentations.

  • Identify potential project roadblocks or risks and escalate to the executive with proposed solutions.

Qualifications

  • Education: Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent work experience).

  • Experience: 3+ years of experience in an Executive Assistant, Project Coordinator, or Project Management role, preferably in a fast-paced environment.

Skills:

  • Strong proficiency in project management methodologies and tools.

  • Expert-level knowledge of Google Workspace (Docs, Sheets, Slides, Calendar, Gmail) or Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Exceptional written and verbal communication skills.

  • Demonstrated ability to handle confidential information with discretion.

  • Superior time management, organizational, and prioritization skills.

  • Proven ability to work independently, exercise sound judgment, and resolve problems proactively.
