We are seeking an experienced Operations Manager to help strengthen operational infrastructure, enhance workflow scalability, and support the next phase of organizational growth.

This individual will serve as a critical operational leader within the firm — directly managing a four-person client service and operations team while overseeing the day-to-day execution of core operational functions.

The role offers significant visibility across the organization, direct interaction with firm leadership, and the opportunity to make a meaningful impact on operational efficiency, client experience, and long-term scalability.

This position requires you to be on-site 5 days a week.

Primary Responsibilities:

  • Operational Leadership & Team Oversight
    • Manage and support the client service coordinator team
    • Manage daily operational workflow, queue prioritization, and escalation handling
    • Review operational paperwork and documentation for accuracy and completeness
    • Assist with onboarding, training, and team accountability initiatives
    • Partner with leadership to improve operational consistency and service delivery
  • Cash Flow Oversight & Operational Monitoring
    • Manage weekly cash flow monitoring and reporting processes
    • Identify and escalate accounts requiring contra activity or operational follow-up
    • Ensure timely and accurate documentation within portfolio management and CRM systems
    • Maintain operational accuracy and accountability across recurring workflows
  • CRM & Workflow Infrastructure
    • Build, maintain, and optimize workflows within Salentica
    • Standardize operational procedures to improve scalability and reduce manual processing
    • Enhance workflow transparency, accountability, and operational efficiency
    • Partner with leadership on process improvement and operational infrastructure initiatives
  • Estate & Beneficiary Processing
    • Coordinate date-of-death valuation requests with custodians and external parties
    • Manage beneficiary account transfers, retitling, and account setup workflows
    • Oversee operational processing related to estate settlement activity
    • Ensure timely and accurate completion of all required documentation
  • Documentation & Process Accuracy
    • Maintain accurate and timely operational notes across systems
    • Document cash flows, operational activity, account changes, and client servicing events
    • Support operational audit readiness and procedural consistency

Qualifications:

  • 3+ years of experience in RIA or broker-dealer operations
  • Experience working with custodial platforms such as Schwab, Fidelity, or Pershing
  • Familiarity with high-net-worth client servicing, trusts, and organizational account structures
  • Experience with CRM systems such as Salentica, Salesforce, or Redtail preferred
  • Prior team lead or supervisory experience strongly preferred
  • Strong excel proficiency as a required operational skill
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication abilities
  • Calm under pressure with a solutions-oriented mindset
  • High degree of professionalism, accountability, and follow-through

This position is an exempt position. The annualized base pay range for this role is expected to be between $90,000-$110,000 base salary compensation range. Actual base pay may vary based on factors including, but not limited to, experience, subject matter expertise, geographic location where work will be performed, and the applicant’s skill set. The base pay is just one component of the total compensation package. Other rewards may include an annual cash bonus and a comprehensive benefits package, including but not limited to medical, dental, vision, life insurance, and 401(k). Please note that the job title is subject to change based on the selected candidate’s experience and education.
