Cape Fear Habitat has an opening for a team member to provide overall administrative/project management and serve as a key liaison to the Board of Directors by cultivating relationships and adapting to the needs and priorities of a growing organization. Attention to detail, analysis, and a drive for problem solving are some of the qualities that will make you a good fit for the job.
Essential duties include:
Project Management – facilitate and support operational projects as directed by Director of HR, including:
- Implementation of affiliate wide SOP manual and affiliate policy and procedures manual
- Create and maintain comprehensive Safety Program for Affiliate
- Facilitate creation of and maintain 5-year strategic plan
- Implementation of Disaster Recovery / Business Continuity Plan
- Facilitate weekly operations meeting, to keep key stake holders from various departments collaborating toward a common goal.
- Assist administrative teams in identifying and applying continuous improvement techniques to processes and recommends improvement or revisions to Department Director
- Work closely with Departmental Directors on long-term planning, project status reporting, and departmental projects
- Support education and training programs, reinforcing technical and operational infrastructure between departments to ensure consistency and quality standards are met
Board Management – ensure completion of board activities including:
- Coordinate with Directors to Schedule, plan, setup, and distribute material for all Board and Committee Meetings
- Draft and distribute Board meeting minutes
- Attend Committee Meetings as requested
- Plan Board activities and events in coordination with Development Coordinator. (Annual Meeting, Socials, Retreats, etc.)
- Maintain up-to-date Board and Committee rosters
- Oversee Board documents, archives, and board portal
- Manage recognition and awards program for Board members
IT Management
- Help define/analyze IT infrastructure strategy, architecture, and processes in collaboration with leadership and IT service providers
- Lead IT projects, including collaboration on design/deployment of new IT systems, networks, and other services with IT service provider
- Evaluate file repository system and establish plan for integrating all users to SharePoint and Microsoft Teams
- Draft and oversee IT policy implementation in collaboration with IT service provider (retention, use, cybersecurity, IT resource usage, etc.)
- Collaborate with IT vendors to ensure data, IT environment and access is secure and compliant with applicable regulations
- Manage contracts and act as liaison between organization’s IT vendors and end users as needed (IT service provider, phone systems, copiers/printers, etc.)
- Develop internal and external SOPs and education as needed for:
- Configuring of hardware and software components (as needed)
- Staff use of IT resources, cybersecurity security + best IT practices
- Onboarding/offboarding tasks related to IT (i.e. equipment preparation, IT orientation with new office staff, termination of access to IT resources, etc.)
- Oversee management of IT assets
