Executive Assistant, Operations
STR is actively seeking an experienced Executive Assistant, Operations to play a pivotal role as the primary administrative support for the Operations leadership team. In this dynamic position, you will be instrumental in providing comprehensive support to the Senior Vice President of Operations and key leaders in Information Technology, Facilities, and Security. Your responsibilities extend to fostering strong working relationships with STR Directors, Managers, Senior Customers, and their respective office staff.
Key Responsibilities:
- Plan, schedule, and meticulously organize Operations Division meetings, conferences, customer visits, social events, and luncheons. Collaborate with Operations staff across Woburn and other STR locations to facilitate necessary arrangements, including facility reservations, audio/visual setup, catering, and security logistics
- Assemble background materials for meetings and briefings, contributing to the development, compilation, and electronic organization of critical information. Maintain adherence to STR standards while preparing, organizing, tracking, and storing essential documents such as reports, monthly status reports, internal program reviews, and briefings. Ensure the upkeep of division knowledge management resources
- Effectively track action items, deadlines, and workflows, promptly responding to data queries. Take charge of booking travel arrangements and preparing reimbursement expense reports for management staff
- Collaborate with the STR Security Department to initiate and update staff security clearances and visit requests. Work closely with procurement to monitor large purchase orders, ensuring timely delivery
- Capture comprehensive meeting notes and document action items from internal meetings. Demonstrate proactive initiative, creativity, and follow-through across a broad spectrum of administrative tasks
- Anticipate, analyze, and proactively respond to changes in priorities and tasks, showcasing adaptability and problem-solving skills
- Uphold discretion in handling sensitive information at all levels, both internally and externally
Requirements:
- Possess an Associate degree or an equivalent combination of education and experience
- 5-10 years of administrative support/office experience
- Mastery of Microsoft Word, PowerPoint, and Excel, with proficiency in Microsoft Access and OneNote
- Exhibit the ability to quickly learn other computer programs and software tools
- Demonstrate exceptional interpersonal, communication, and organizational skills
- Display meticulous attention to detail, with the ability to compose routine written communications and accurately proof-read documents produced by senior staff
- Showcase proactive initiative and creativity in problem-solving and process improvement
- Possess professional acumen when interacting with government sponsors, corporate executives, STR staff, and contractors
