Examples of the Duties 

  • Scheduling, including team management & logistics, including travel
  • Assist in preparation tasks for new and existing clients
  • Plan, track, and manage team goals, project timelines, training, licensing, travel, expense reports, and new information 
  • Complete forms, reports, and collect signatures 
  • Participate in department meetings 
  • Evaluate the potential for process problems and develop solutions 
  • Manage project-related paperwork, ensuring that materials are current, properly filed, and stored 
  • Communicate with clients regarding needs, if necessary 
  • Assist in proposals and billing 
  • Be an active participant in business development and cultivate relationships to strengthen both yourself and the firm 

Job Description:  
We're seeking an Operations Coordinator with a unique blend of administrative expertise, strategic thinking, project management skills, and the ability to anticipate the ever-evolving needs of our leadership and team. This is not just a desk job; it's an opportunity to be at the heart of our operations, playing a pivotal role in ensuring our team is exceptionally supported and positioned for success.  The ideal candidate will be constantly self-motivated by their responsibilities and also able to keep an eye out for opportunities to innovate. This role will assist with multiple functions, including providing administrative support to ensure the efficient operation of the team. The Operations Coordinator will be accountable for handling confidential and time-critical materials. If you are a highly organized, adaptable, positive, and detail-oriented professional with experience in business and administrative support, we encourage you to apply.  

Qualifications & Characteristics: 

  • Associate of Arts Degree required, with no specific field of study preferred.  
  • 1-2 years of experience in an administrative or office environment. 
  • Ability to communicate effectively and professionally with clients and other staff. 
  • Able to work autonomously while seamlessly integrating with remote and in-office teams based in the U.S. 
  • Knowledge of Microsoft Office, including Teams, Outlook, Excel, and Word. 
  • High emotional intelligence with the ability to handle sensitive information with discretion. 
  • Detail-oriented with a strong commitment to organizational excellence. 
  • Ability to multitask and prioritize in a dynamic environment.

Other things we think you should know about the position 

  • Location – hybrid based out of our Willmar, MN office
  • Hours are normally Monday–Friday, 8:00 a.m. – 5:00 p.m. CST
