This 116-year-old, non-profit organization has an annual operating budget of over $70 million dollars and generates revenue through four activity streams:  the 15 day annual summer Fair which averages more than 700,000 people annually, Playland amusement park which welcomes 400,000 guests annually including Fright Nights, and a busy year-round portfolio of events including concerts, trade shows and film, cultural and community events.  In total we bring over 2 million people through the site each year. We are seeking a highly motivated and enthusiastic individual that has a passion for the events industry and the Pacific National Exhibition (PNE). The Operations Coordinator, Public Safety will work under the direction of the Manager, Public Safety and provide direct administrative and operational support to the Public Safety and Operations team.

What will you do this year?

  • Provide comprehensive administrative support to the Public Safety department, including records management, filing systems, reporting, and departmental documentation.
  • Support seasonal recruitment, hiring, onboarding, training coordination, and employee communications.
  • Develop, maintain, and distribute event staffing schedules using Shiftboard and Excel, ensuring compliance with staffing requirements, licensing requirements, seniority provisions, and applicable Collective Agreements.
  • Coordinate staffing needs, employee availability, shift postings, schedule changes, and operational coverage for vacancies, call-outs, and special events.
  • Maintain employee records in Shiftboard, including profiles, workforce data, department structures, and event schedules.
  • Process payroll and timesheets, including payroll approvals, adjustments, discrepancy resolution, and compliance with payroll deadlines.
  • Create and maintain work orders and event-related records within the PNE's ERP and scheduling systems.
  • Track and administer employee certifications and licences, including BST, AST, and other departmental requirements, ensuring timely renewals and compliance.
  • Oversee the deployment, tracking, and maintenance of departmental equipment, including radios, metal detectors, and event credentials.
  • Assist with the interpretation and application of departmental policies, procedures, and Collective Agreements.
  • Coordinate assigned events, support special projects, and provide ongoing administrative support to Public Safety leadership.
  • Foster a positive department culture that supports operational excellence, employee engagement, and continuous improvement.
  • Perform other related duties as assigned.

 

What else?

  • A minimum of two (2) years of scheduling experience, along with strong proficiency in computer applications.
  • Prior experience working within a unionized environment is considered an asset.
  • Previous experience scheduling high volumes of employees and events.
  • Proven ability to build and maintain effective working relationships with colleagues, subordinates, and external stakeholders.
  • Capable of working independently under pressure while managing multiple diverse projects simultaneously.
  • Exceptional skills in planning, organization, communication, and administration.
  • Comfortable and effective in a fast-paced, high-energy work environment.
  • Flexibility to work a dynamic, event-driven schedule, including evenings and weekends as required.
  • Candidates must successfully pass a Criminal Record Check.

Additional Information

The PNE's compensation offerings are in alignment with a pay-for-performance pay philosophy that recognizes individual, and teamwork performance. The role is a permanent, full-time position with a typical salary range of $58,000 - $65,000 per annum. The starting salary will be based on the successful candidate’s competencies, including but not limited to knowledge, skills, experience, and internal pay structures.  As a part of the PNE's total compensation package, this position may be eligible for other benefits subject to program eligibility requirements.
