Summary of Duties
The Operations Coordinator serves as a central support role across the Finance, Technology, and Network Properties departments, helping ensure smooth daily operations, strong communication, and organizational efficiency. This position acts as the operational “glue” between departments by supporting department leaders with administrative coordination, project tracking, scheduling, event logistics, budgeting support, and process management. The ideal candidate is highly organized, collaborative, detail-oriented, and able to manage multiple priorities while supporting the overall mission of CTK.
Essential Functions
- Provide high-level administrative and operational support, including tracking requests, budgets, projects, and departmental deadlines.
- Coordinate cross-communication, scheduling, and follow-up between departments, vendors, and volunteers.
- Serve as the primary coordinator for internal and external facility reservations, event logistics, documentation, and event support.
- Attend staff meetings, campus walkthroughs, design meetings, and departmental meetings to document decisions, action items, and next steps.
- Support weekly and monthly accounting processes and financial reporting.
- Perform additional tasks and duties as assigned by the Finance, Technology, and Network Property leads.
Requirements
- Detail-oriented - able to track multiple projects and tasks at a time.
- Skilled user of Google Suite, database, financial tracking, and form creation etc.
- Ability to create and maintain systems and various reports.
- Ability to clearly communicate, orally and in writing.
- Detail oriented and able to multitask and manage productivity amidst distractions.
- High level of integrity and confidentiality.
- Team-oriented attitude with willingness to assist across multiple functions.
- 1-3 years administrative support or equivalent required.
- Experience in event coordination, facilities, or operations support preferred.
- Project management skills preferred
