Job Description :

Havas Formula, a national public relations agency with offices in NY, Chicago, Miami, LA, and San Diego, is seeking an Operations Assistant for their Tribeca office. This role provides general administrative, operational, and finance support.
Havas Formula operates on a hybrid schedule. Candidate must be able to be in-office Tuesday-Thursday, and as needed to support operations and clients.
Hours: 9:00 am – 6:00 pm, Monday - Friday.

Responsibilities 

  • Oversees office area and is responsible for day-to-day logistics  

  • Manages incoming and outgoing mail and packages 

  • Manages dedicated conference room and assists staff with booking rooms 

  • Assists with client meetings and visitors  

  • Works with staff to upkeep and organize incoming client product 

  • Manages and facilitates office events and activities 

  • Assists with the onboarding of new staff, desk set up, tour, etc. 

  • Supports internal client and resource management  

  • Supports agency tools and subscriptions 

  • Administrative support to senior leadership 

  • Ad-hoc tasks and projects within Operations, Finance, and HR 

  • Contributes positively to the agency culture, atmosphere and values and exudes a positive outlook on the team 

  • Establishes professional and respectful employee relationships within the division and agency 

 

Qualifications 

  • High school diploma or GED  

  • A minimum of 1 year of relevant experience 

  • Takes pride in a well-organized and clean office  

  • Strong written and verbal communication skills 

  • Capable of multitasking and strong prioritization and organization skills 

  • Excellent attention to detail 

  • Self-motivated and able to work well in a fast-paced environment 

  • Great at time management and follow up 

  • Must be flexible and have a welcoming attitude 

  • Experience with MS Office (Word, PowerPoint, Excel and Outlook)  

  • Concur and expense experience is a plus 

We expect to pay $20 - $24 per hour for this role. Actual base pay within this range will be determined by several components, including but not limited to, relevant experience, internal equity, skills, qualifications, and other job-related factors as permitted by law.
