Responsibilities:
- Manage surgical scheduling, ensuring surgeons, staff, and patients are properly coordinated for procedures.
- Verify surgeon availability and confirm that patients are scheduled with the correct provider, date, time, and duration.
- Document recommendations, special instructions, or surgical notes, ensuring surgeon concurrence.
- Maintain waiting lists and coordinate with clinic staff to schedule patients when openings occur.
- Create and manage manual schedules when automated systems are down.
- Provide administrative support to surgeons and operating room staff, including preparation of rosters, medical charts, and records.
- Prepare pre-operative briefing packets, including instructions, convalescent leave paperwork, medication lists, and follow-up appointment details.
- Coordinate with the pharmacy regarding surgical medications and patient requirements.
- Call patients on waiting lists when slots become available and provide appointment notifications.
- Communicate delays or changes in schedules to patients and staff promptly.
- Ensure all scheduling and patient information is recorded accurately in medical systems, following HIPAA and DoD privacy standards.
