What We’re Looking For

The Online Education Administrative Coordinator supports the Online Education team by providing exceptional customer service and managing the day-to-day administrative and system tasks that create a consistent online learning experience. This position serves as a primary resource for routine customer questions, supports customer setup and learner needs, maintains accurate training records, and keeps online education systems and resources organized and accessible.

The ideal candidate is highly organized, service-oriented, and enthusiastic about working with technology. Strong attention to detail and the ability to manage multiple priorities are essential. This position works closely with the Director of Online Education and internal teams to support customers before, during, and after implementation.

What You Will Do

• Provide responsive customer support: Help customers navigate online education programs, resolve routine account and learning-platform issues, and follow requests through resolution, escalating complex concerns as needed.

• Support customer setup and system administration: Maintain customer accounts, learner information, and learning assignments; assist with implementation; and perform routine system updates, testing, and accuracy checks.

• Maintain accurate records and accessible resources: Organize training records, approved learning and competency materials, and customer documentation; generate reports and help customers access needed resources.

• Support course development and maintenance: Coordinate approved content updates, organize course and multimedia assets, track revisions, and assist with quality checks.

• Coordinate administrative activities: Maintain trackers and departmental documentation, monitor follow-up items, and support online education events, meetings, conferences, and special projects.

• Collaborate and improve processes: Work with internal teams to address customer needs, communicate recurring issues, and recommend improvements to administrative efficiency and the learning experience.

• Additional Responsibilities: Assist with special projects and additional education or event-related duties as assigned, Occasional evening or weekend work may be required, Lab assistant on rotation during PCCA training courses

Who You Are

• Service-oriented and communicative: Skilled at building relationships and communicating clearly with customers and teammates and cross functional teams in writing and conversation.

• Comfortable with technology: Enthusiastic about learning web-based systems, troubleshooting routine issues, and using Microsoft Office applications. Experience with learning management systems or related education, event platforms, content-development or customer-support tools is a plus.

• Organized and adaptable: Able to prioritize competing requests, manage time effectively, and follow through in a fast-paced environment.

• Accurate and detail-oriented: Committed to maintaining reliable records, organized documentation, and consistent quality while following established processes.

• Resourceful and collaborative: Able to solve routine problems independently, recognize when to escalate concerns, and work and communicate effectively across teams. Develop and maintain strong working relationships across departments

• Supported by relevant education or experience: A bachelor’s degree or an equivalent combination of education and relevant experience is preferred. Experience in customer service, administrative support, learning systems, education, healthcare, or a related environment is also preferred.

• Self-motivated, adaptable, and team-oriented

• Strong organizational and time management skills with attention to detail

• Ability to multi-task with proficiency in follow-up and follow-thru

• Resourceful problem-solver with a hospitality-focused approach to team logistics, communication,  and onboarding
