Job Description

Old Mutual Finance was established in 2008 to provide unsecured lending products and services to the SA market. The business started with a staff compliment of 34 and has since grown to over 3000 staff with more than 300 branches nationally. Within our branches we offer insurance, lending products as well as servicing. 
 
Old Mutual Finance is currently seeking to hire a Human Capital Support Specialist.  The successful incumbent will report to the OMF Snr Human Capital Business Partner.
The role collaborates with Line Management and Human Capital Partners and is responsible for providing administrative and specialist Employee Relations and Human Capital Compliance support.

Responsibilities:

  • Oversee the Human Capital compliance function

  • Ensure processes comply with company policies and procedures meet compliance requirements including Privacy, SOP, BCP, Regulatory Exams.

  • Build strong and effective partnerships across OM to drive effective compliance with regulatory and/or legislative requirements.

  • Maintain compliance and Fit & Proper learning and ensure delivery as per regulations.

  • Contribute towards compliance projects and provide Learning and Development mentoring.

  • Manages priorities against tight timelines and a sense of urgency, and has a practical, common-sense approach to solving complex problems.

  • In collaboration with the Human Capital Management Information team, respond to ER requests by gathering, analysing, and reporting relevant data from various sources.

  • Responsible for ensuring that own delivery and process are aligned to ER and HC governance and supporting policies.  

  • Establishes and maintains effective documentation, administration processes and practices.

  • Ensures the collation and availability of accurate ER data and identifies trends to support meaningful decision making.

  • Perform secretariat functions for Committees and/or Forums related to the ER function, Fit & Proper/ HC Compliance, including collating information and/or reports, finalising and circulating the agenda and meeting minutes for such Committees and Forums  

  • Building key stakeholder relationships internally and externally to enable the delivery of ER-related initiatives.

  • Provide administrative support and drive the delivery of ER projects/HC Compliance initiatives.

  • Coordinate and oversee training programs for Management on Debarment processes.

  • Collect, analyse, and generate reports on Debarment-related data.

  • Collaborate with Management and the Compliance team to ensure that all Debarment procedures are executed in full compliance with FAIS and applicable legislation.

  • Support the Debarment Chairperson in the interpretation and analysis of FAIS and relevant legislative requirements.

  • Engage with external entities such as the CCMA, Labour Court, and FSCA as needed.

  • Manage and address queries, ensuring timely responses to all ER/HC Compliance mailboxes within a 2-3 business day turnaround, and liaise with relevant stakeholders accordingly.

Requirements:

  • Matric

  • A legal, Human Capital or business-related degree is essential

  • 2 – 3 years relevant experience in a similar role or Human Capital Compliance.

  • Experience working in the financial services sector is essential

This role is responsible for ensuring best practice and process related to funds through own efforts. This includes representing employees/funds and consulting to employees with regards to process and rules/policies.

ResponsibilitiesPolicies and Procedures Development

Contribute to the drafting of policies, procedures, and related guidelines within an area of expertise to meet defined key principles and ensure compliance with external requirements.

HR Frameworks and Tools

Contribute to the drafting of HR frameworks and tools for recruitment, performance management, development, career and succession planning, compensation and benefits, diversity, employee onboarding and offboarding, and retention of talent, within an area of expertise, ensuring compliance with specified design principles, internal policies, and external legal requirements. Enable the attraction, development, and retention of talent at a sustainable cost.

HR Data Management

Carry out complex HR data processing tasks; advise colleagues when needed and use expertise to help improve data collection tools and administration processes.

HR Data Analytics and Insights

Deliver analyses of HR data; identify trends and contribute to the creation of HR insights that enable the diagnosis of business issues, enhancement of employee engagement, and/or improvement of business performance.

Information and Business Advice

Resolve queries from internal or external customers or suppliers by providing information on complex processes and the related policies, referring issues to others where necessary for interpretation of policy.

Continuous Improvement

Contribute to reviewing existing operations in own area of work, and generate new ideas to assist in identifying continuous improvements.

Stakeholder Engagement

Assist with stakeholder engagement by arranging actions, meetings, events, and supporting materials to promote stakeholder understanding and commitment.

Operational Compliance

Identify, within the team, instances of noncompliance with the organization's policies and procedures and/or relevant regulatory codes and codes of conduct, reporting these instances and escalating issues as appropriate.

Personal Capability Building

Develop own capabilities by participating in assessment and development planning activities as well as formal and informal training and coaching; gain or maintain external professional accreditation, where relevant, to improve performance and fulfill personal potential. Maintain an understanding of relevant technology, external regulation, and industry best practices through ongoing education, attending conferences, and reading specialist media.
