About the RoleProper is seeking a Legal Administrative Assistant (Offshore) to support a short-term project focused on legal entity maintenance, address changes, and tax documentation updates across our portfolio of companies. This project will involve reviewing, tracking, and updating entity information to ensure all records, filings, and systems reflect current data accurately. This is an ideal role for someone highly organized, detail-oriented, and comfortable working with corporate documentation and administrative processes. The work will be project-based and execution-focused, requiring accuracy, efficiency, and strong follow-through.
Project Duration & Schedule:
- Estimated duration: 1–3 months
- Expected start: Immediate
- Hours: Full-time (EST hours preferred)
- Remote, offshore position
Key Responsibilities
- Review and organize legal entity documentation, ensuring information is current and accurately recorded.
- Identify and update addresses across all legal entities, including banking, tax, and third-party systems (e.g., Brex).
- Assist with legal entity adjustments and support filings related to corporate updates or ownership changes.
- Track and document all entity address updates across systems, platforms, and records.
- Coordinate with internal stakeholders and external service providers (accounting, tax, or legal teams) to confirm entity compliance.
- Maintain organized digital files and ensure consistent naming conventions for entity documentation.
- Assist with DBA (Doing Business As) setup and record management, noting that the process will formalize in February.
- Prepare summaries or status reports for leadership outlining progress, outstanding updates, and next steps.
RequirementsQualifications & Experience
- 3+ years of administrative or paralegal experience, ideally supporting legal, compliance, or corporate governance functions.
- Strong familiarity with corporate entity documentation, filings, and record management.
- Experience working with legal address updates, corporate filings, or entity management systems preferred.
- High attention to detail, organizational excellence, and ability to manage data across multiple entities.
- Proficient in Microsoft Office, Google Workspace, and digital document organization tools.
- Strong written and verbal communication skills in English.
- Ability to work independently, meet deadlines, and coordinate across multiple time zones.
- Prior experience working on short-term legal or administrative projects preferred.
