Job Duties:
Provide both program and technical support to upper management and co-workers within District 1.
Provide clerical/technical support as needed to district personnel by maintaining confidential files, maintenance and project correspondence, records and reports.
Greet visitors, answer and direct calls, using a multi-line telephone, answer questions or direct inquiries to appropriate staff.
Respond to contacts from all internal and external customers.
Respond to emergencies by relaying information to the appropriate personnel.
Use computer extensively in all facets of the job.
Plan, organize and implement work assignments/courses of action, as directed, to meet the goals and objectives program, technical or administrative activities.
Process bills for payment, collect receipts and accurately prepare and process purchase orders and expense reimbursements.
Compile and check documents, records, and reports to confirm accuracy, completeness, and status of information and process requests or transactions.
Track payments and answer questions from vendors/employees on questions pertaining to the payment and process.
Check and enter payment of purchasing cards.
Prepare forms for ordering materials and supplies.
Review incoming correspondence, route to staff, or prepare responses, reports, envelopes and labels as needed or directed using MS Excel, Word and various other computer programs.
Process all paper/computer work and file appropriately.
Assist the public with the Nebraska Department of Transportation (NDOT) permit process, assist customers with building/slow moving large object permit system and issue building/slow moving large object permits using the Automated Permit System.
Read maps and route.
Arrange travel or conference plans, meeting locations, schedules and appointments.
Operates office equipment such as personal computers, scanning equipment, calculators, fax machines, multi-line telephone, and associated software.
Review and send hard copy and electronic mail, form letters, and material relying on established correspondence guidelines and/or supervisory instructions.
Type, enter, and scan narrative, numerical, and/or statistical information.
Check, code, and file/retrieve correspondence, records, reports, and other information using manual and electronic files/databases.
Order office supplies, equipment, and/or publications.
Perform other duties as assigned.
Requirements/Qualifications:
Minimum Qualifications: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency. OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
Preferred Qualifications: Experience reading maps for incident detours. Experience preparing correspondence. Experience in accounting and using an electronic payroll system. Familiarity with highway maintenance and construction activities. Experience working with the public. Experience using MS Word, Excel, PowerPoint, and Outlook.
Other: Must have a valid driver's license or the ability to provide independent authorized transportation. Regular and reliable attendance is also required. Must be able to work from 8:00 a.m. to 5:00 p.m. with an hour lunch.

Must have good computer skills including word processing, spreadsheets, electronic communication, and proficient typing. Must be able to utilize time and organize work to meet deadlines and prioritize requests; ability to work under pressure, have good interpersonal skills, communication skills, and attention to detail. Must be able to deal professionally with the public and NDOT employees. Must be able to work with minimal supervision and be self-motivated. Ability to work with personnel information while maintaining confidentiality. Ability to gather pertinent information to answer inquiries. Effective communication skills are required to perform the essential functions of the job. Must project a professional presence, be able to work under pressure, have good interpersonal skills, and be able to deal professionally with the public.
