Position overview
The primary purpose of this role is to support the Lead Office Services Coordinator in daily office operations, including mail and package handling, office supplies, equipment support, compliance processes, records coordination, and general administrative assistance for Facilities and Corporate Services.
Roles & responsibilities
Mail & Package Operations
- Sort and distribute incoming mail and packages
- Collect internal mail from designated locations twice daily
- Prepare outgoing shipments and coordinate pickups
- Provide shipment tracking support and report issues to Lead
Vendor & Account Management
- Assist with shipping vendor documentation and account coordination
- Help prepare invoices and supporting materials for submission to Accounts Payable
- Support departmental shipment coordination as directed
Office Supplies & Equipment
- Restock standard office supplies and maintain organized storage areas
- Process supply and stationery requests
- Operate postage meters, printers, and related equipment
Compliance, Security & Loading Dock Oversight
- Follow company mail handling, confidentiality, and IT security protocols
- Assist with monitoring deliveries and loading dock activity
- Maintain safe and organized work areas
Records Management
- Support off-site document storage coordination and tracking
- Assist with document scanning and routing
Administrative & Facilities Support
- Provide administrative support for office services operations
- Assist with package storage, shredding services, and general logistics tasks
- Perform additional duties assigned by Lead or Facilities Management
Qualifications
Education:
- High school diploma
Experience:
- 1–2 years experience in mailroom, office support, logistics, or administrative support role preferred
- Experience handling packages, inventory, or office equipment a plus
Skills:
- Strong attention to detail and organizational skills
- Ability to follow established procedures and instructions
- Good communication and teamwork skills
- Basic computer proficiency
- Dependable, punctual, and able to manage routine tasks efficiently
- Mechanically inclined a plus
Schedule/Shift: M-F 8-5
Expected compensation: $23.60 per hour
The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
