Job Summary

The Office Services Coordinator is responsible for supporting the day-to-day operations of the office and ensuring a clean, organized, efficient, and fully functional workplace. This role oversees shipping and receiving, office supply inventory and ordering, meeting and event setup, office maintenance coordination, and general workplace support. In addition, this position works closely with the Product Coordinator to receive, unpack, organize, and prepare product samples and review materials for team use. The ideal candidate is highly organized, proactive, hands-on, and able to manage a variety of operational tasks with strong attention to detail and responsiveness.

Key Responsibilities

  • Manage all shipping and receiving, including domestic and international shipments
  • Prepare, track, and coordinate outgoing shipments and incoming packages
  • Order, monitor, and maintain inventory of office, kitchen, and shared-area supplies
  • Restock supplies throughout the office to ensure consistent availability
  • Coordinate office maintenance needs and follow up with building management, landlords, and external vendors as needed
  • Perform routine office upkeep to maintain a clean, organized, and professional workspace, including high-traffic areas, conference rooms, and kitchen spaces
  • Set up and break down rooms for meetings, town halls, trainings, and company events
  • Assist with workstation setups, desk moves, and basic office technology coordination in partnership with IT as needed
  • Support office moves, space planning, and seating changes as required
  • Work closely with the Product Coordinator to unpack, organize, label, store, and set up product samples and review materials for team use
  • Assist in packing and preparing product samples and materials for review meetings, internal presentations, and other team needs
  • Track and resolve facility-related requests in a timely manner
  • Purchase supplies and materials as needed, including off-site shopping when required
  • Assist with special projects and other ad hoc workplace operations tasks as assigned

Qualifications

  • Previous experience in office operations, facilities, workplace services, shipping/receiving, or a related role preferred
  • Strong organizational, time-management, and follow-through skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Comfortable handling physical tasks such as lifting packages, moving supplies, setting up furniture or equipment, and handling product samples
  • Strong communication and coordination skills when working with vendors, landlords, internal teams, IT, and the Product Coordinator
  • Proactive, dependable, and able to work independently
  • Basic familiarity with office technology or workstation setup coordination a plus

PHYSICAL DEMANDS

  • While performing the duties of this job, the team member is regularly required to talk or hear. 
  • The team member frequently is required to sit; have flexible use of hands; reach with hands and arms; and stoop, kneel, crouch, or crawl. 
  • The team member is occasionally required to stand, walk, and taste or smell. 
  • The team member must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 - 50 pounds. 
  • Regularly required to move supplies and furniture
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

WORK ENVIRONMENT

  • Ability to stand, walk, and perform light physical labor throughout the workday
  • In office Monday – Thursday with half day on Friday
