The Office Services Associate (OSA) is responsible for managing all administrative business and office support functions. This role is a front-line ambassador with will serve as the primary director of first impressions and support a dedicated team contributing to the satisfaction, retention and growth of client relationships. Duties and Responsibilities

Provide concierge level service to clients and prospects including front office reception, confirmation of appointments, meeting preparation, and managing office calendar

Partner directly with client relationship support, wealth advisory, and operations teams in meeting client needs, including the preparation of custodian paperwork, communication with clients, and assisting with client service-related activities

Track and document tasks and activities in CRM and other internal systems, ensuring notes are input in a timely and compliant manner

Works with regional head to identify office specific issues and recommend solutions as well as execute sound judgment in resolving administrative matters

Ensure facilities needs are adequately met; partner with internal and/or external partners to address any deficiencies

Coordinate and participate in office and/or or firm initiatives, projects, and other department specific initiatives as needed

Adhere to all company policies and procedures and perform business functions with focus on consistency, quality, and compliance

Perform additional functions, duties and specific tasks of a similar nature and scope as necessary to support the client service departmental objectives

The ideal candidate will have 1-3+ years' experience working in a professional office environment; a preference for candidates with previous operations and client service experience.

Strong organization and attention to detail are essential with the ability to prioritize and multi-task effectively in a fast-paced environment

Compensation: Our base pay range is $25.00-$30.00 (hourly)
