General Description
This role is the steward of our Durham office and will provide a consistent presence, setting the tone for professionalism and a high level of engagement. We are looking for somebody skilled, energetic, eager to learn, and take ownership of a variety of office services tasks to ensure the smooth operation of the Durham office. The successful candidate will maintain a professional appearance as they are a representative of the company and its executives at all times. This position partners with internal departments to accomplish business objectives, maintain and coordinate schedules, and anticipate and fulfill needs. This role will be privy to confidential information and must develop and maintain a high level of trust with other departments.
Specific Responsibilities
- This person will ensure that our office is welcoming for visitors and comfortable for our Associates.
- Maintain a knowledge of the R.E. Mason and Apperture organizations and their operations.
- Serve as point of contact between customers, vendors, other Emerson representatives, and R.E. Mason Associates.
- Proficient in working efficiently in a fast-paced environment while juggling multiple tasks at a time.
- Manage incoming calls, greet and check in visitors, and prepare visitor badges and nametags if needed.
- Responsible for maintaining a tidy appearance of the interior office space, conference rooms, and kitchen area.
- Submit helpdesk tickets through the building management portal for any building maintenance issues.
- Organize or assist with group meetings, luncheons, and events.
- Engage, observe, and anticipate the needs of others before they arise.
- Book travel for employees as needed.
- Create PowerPoint presentations, Word documents, and Excel spreadsheets.
- Use company data to create mail merge, templates, graphs, and charts.
- Enter/Submit expense reports for office leadership
- Assist with data entry and Emerson resume compilations.
- Prepare and edit correspondence and other documents.
- Retrieve and distribute incoming mail and assist with any outgoing mail or packages.
- Responsible for managing, ordering, and restocking snacks, fruit, coffee, plates/utensils, office supplies, and other pantry items.
