We are growing rapidly and seeking a self-motivated, organized, and experienced Office Manager to support our Rochester, NY and assist with the upcoming opening in our secondary location in Kansas City. This role partners closely with the General Manager, Recovery Operations to ensure smooth day-to-day operations in a fast-paced environment.
The ideal candidate takes pride in their work, demonstrates strong ownership, and serves as the go-to resource for all office needs—including managing supplies, coordinating vendors, supporting onboarding, assisting with office initiatives, and planning team events.
This is a primarily in-office role to support a highly collaborative team environment, with occasional opportunities to work from home. Our main office hours are 8:30AM-5:00PM, Monday - Friday.

How You’ll Spend Your Time- Lead day-to-day office support, ensuring a productive work environment for all team members.
- Ensure the office is consistently stocked, organized, and fully operational.
- Manage vendor relationships, coordinating services such as cleaning, maintenance, and other operational needs.
- Serve as the primary point of contact for general office needs to ensure seamless day-to-day operations.
- Support office build-out and space optimization initiatives.
- Own planning and execution of office events that enhance team engagement and culture. Such as, monthly lunches, planning offsite events such as happy hours.
- Maintain office budgets for necessary spending related to employee well being initiatives
- Work with leadership to administer office-wide employee programs (examples: gift card prizes and company swag)
- Perform clerical duties, such as sorting and distributing mail, FedEx envelopes, filing, creating and posting signs.
- 3+ years of experience as an office manager or similar role, ideally within fast-growing offices or startups.
- Bachelor’s degree in business, administration, communications, or a related field (or equivalent experience).
- Strong sense of ownership, accountability, and follow-through combined with a positive, low-ego approach to teamwork.
- Strong communication (written/verbal) and interpersonal skills.
- Proficiency with office software (MS Office, Google Workspace) and adaptability to new tech.
- Ability to remain calm and effective in a changing environment, with the ability to shift priorities and manage last-minute requests within a startup culture.
- Entrepreneurial mindset with the ability to own projects end-to-end, operate autonomously, and solve problems with minimal direction.
- Excellent interpersonal and communication skills, able to work effectively with employees, leadership, vendors and stakeholders at all levels.
