Job Description:

Enfinity Global is looking for a passionate and dynamic Office Manager, a proactive leader who thrives on creating a well-organized, efficient, and engaging work environment. The candidate has to be deeply committed to supporting both people and processes, ensuring that the office runs smoothly while fostering a culture of collaboration and excellence.

Key Responsibilities:

  • Serve as the central point of contact for all office-related operations, including facilities, supplies, equipment, and administrative logistics.
  • Lead the design and optimization of office procedures to ensure operational efficiency and alignment with organizational goals.
  • Ensure office services are effectively structured and monitored, including correspondence management, filing systems, supply requisitions, and clerical support.
  • Collaborate with the IT department to ensure seamless functionality and maintenance of office technology and equipment.
  • Lead onboarding and offboarding processes in coordination with IT and relevant departments, ensuring a smooth employee experience.
  • Develop and enforce office policies and standards to guide consistent and high-quality operations.
  • Champion procedural and policy enhancements to drive operational excellence and organizational effectiveness.
  • Monitor performance metrics and implement continuous improvements to meet and exceed operational benchmarks.
  • Manage office financial planning, including budget preparation, expenditure tracking, variance analysis, and corrective actions.
  • Ensure timely execution of internal purchasing objectives and compliance with procurement standards.
  • Oversee vendor and landlord relationships, ensuring timely invoicing, payments, and service delivery.
  • Lead contract and pricing negotiations with vendors and service providers to maximize value and cost-efficiency.
  • Delegate responsibilities and manage team performance to ensure accountability and productivity.
  • Collaborate with HR to maintain and update policies, benefits, and employee engagement initiatives.
  • Collaborate with the HSE and HR teams to coordinate and ensure completion of mandatory training sessions & activities.
  • Actively contribute to the planning and execution of company events in partnership with the Communications team.

Requirements
  • Bachelor’s degree in Business Administration, Management, or a related field (required).
  • 3+ years of experience in office management, operations, or a similar administrative role (required).
  • Proven experience in budgeting, financial planning, and expenditure tracking.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficiency with office software (e.g., MS Office Suite, Google Workspace); experience with office management or ERP systems is a plus.
  • Experience with procurement, vendor management, and contract negotiation.
  • Demonstrated ability to lead and motivate a team.
  • Problem-solving and process improvement mindset.
  • Knowledge of health, safety, and environmental (HSE) standards is a plus.
  • Fluency in English (required); additional languages (e.g., Spanish) are an advantage.
