We are seeking a highly organized, proactive, and detail-oriented Office Manager to oversee the daily administrative operations of our office in Istanbul. The ideal candidate will be responsible for maintaining a smooth and efficient work environment, managing office resources, supporting staff, and contributing to a positive workplace culture.
General Responsibilities:
- Provide office leadership and administrative support to the team
- Perform wide variety of administrative support activities, which require the handling of business-sensitive and confidential information
- Manage day-to-day office operations and ensure a well-organized and professional environment.
- Coordinate and oversee administrative tasks such as scheduling, office supplies, mail handling, and record-keeping.
- Deal with local administrative formalities/processes with the authorities (protocols, customs, compliance/trade regulations)
- Local payroll/employees’ administration in collaboration with HR and the external provider, including
management of local benefits, company cars and health & safety local requirements.
- Supervise and support administrative staff and office reception as needed.
- Act as the primary point of contact for office vendors, service providers, and building management.
- Be the focal point with suppliers, and local business partners to provide on-time communication, updates and action needed topics with the management.
- Maintain and manage office budgets, expenses, contracts and petty cash.
- Assist with onboarding new employees, including workstation setup and orientation.
- Organize company events, meetings, and team-building activities.
- Ensure compliance with local event management & notification requirements.
- Ensure compliance with health and safety regulations & company policies. Will be the first point of contact for Data Privacy requirements.
- Manage calendars, prepare reports, and support senior management with administrative tasks.
- Monitor office efficiency and implement improvements where necessary.
Skills and Experience:
- Proven experience as an Office Manager, Administrative Manager, or similar role.
- Fluent in English
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and other office management tools.
- Ability to handle sensitive information with confidentiality and professionalism.
- Problem-solving mindset with attention to detail.
- Willingness and ability to work a flexible schedule when necessary
- Proven track record of demonstrating knowledge and understanding of compliance topics
Education:
Bachelor's degree from an accredited university or college.
