CONTEXT | THE ROLE:
This dual role is ideal for someone who enjoys wearing multiple hats. As Office Manager, you’ll ensure a smooth day-to-day operation of our workspace and provide administrative support to the leadership team. As HR Administrator, you’ll assist with core HR processes, employee support, and compliance, contributing to a positive employee experience and organizational culture.
You’ll be the face of the business. The first smiling face that clients are met with when they visit our offices. The helping hand that is responsible for making all of your colleagues feel at home when working from the office and the go-to person for their day-to-day needs. You’ll need to be an A-type multitasker with top-notch organisational skills and the ability to prioritise tasks according to their importance and urgency.
This role does not allow for remote work or flexi-time.
ROLE RESPONSIBILITIES | THE WHAT & THE HOW:
OFFICE MANAGEMENT
- Be the ultimate host for people visiting the office and in the office ensuring everyone in the office has the best experience possible.
- Managing office access control for new and existing employees.
- Managing parking access and allocation.
- Managing and maintaining office facilities and equipment, including connectivity, general office equipment, necessary refreshments, and stationery for Johannesburg and Cape Town offices.
- Internal event planning and coordination (year-end function, internal gatherings, ad hoc functions as approved).
- Being part of the team that drives Platform45’s culture forward.
- Booking and managing all required and approved travel for Platform45 employees.
- Manage in-office meeting rooms and assist with setting up for and coordinating in-office meetings. This includes maintenance of the bookings on the relevant booking tools utilised.
- Answer telephone calls and manage correspondence, complaints, and queries raised to the reception email directing them to relevant staff.
- Creating and managing the office budget (groceries, stationery, cleaning supplies, beverages, etc. for meetings and functions).
- Report office progress to the Head of Internal Ops and work with them to improve office operations and procedures.
- Managing suppliers that keep the office space in tip-top condition such as those responsible for cleaning and maintenance of our greenery.
- Organisation and maintenance of the storerooms and supply closets at the office.
- Ensuring staff are aware of any issues at the office such as upcoming fire drills, water issues and whatever else may be relevant.
- Liaising with any of our own tenants who share our office space to ensure we are meeting the standards promised to them.
HR ADMINISTRATION
- Be a partner with the People Team supporting the onboarding and coordinating of new employees, assisting with company events like team celebrations, and ad-hoc office events for the team to connect.
- Ensure compliance with employment laws and internal policies.
- Assist with performance management and employee engagement initiatives.
- Support the people team to ensure that we are compliant and up to date (e.g EE, WSP, SETA).
Technical Requirements
- Proven experience as an Office Manager, Administrative Assistant, HR Administrator or similar role.
- Strong organisational and time management skills with the ability to prioritise tasks effectively.
- Foundational knowledge of employment laws, regulations, and HR best practices.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and GSuite (Gmail, Google Sheets, Google Drive, Docs, etc.) and familiarity with BambooHR.
- Ability to work independently and collaboratively in a fast-paced environment.
- High level of professionalism, discretion, and confidentiality.
