Summary

  • Manages general office activities, accounts payable processing, front office operations, administrative records, and human resources support by performing the following duties.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Manages day-to-day accounts payable activities and maintains accurate and timely records.
  • Enters accounts payable invoices, including sorting, coding, reviewing, and matching invoices to supporting documentation.
  • Processes vendor payments by check, ACH, and wire transfer in accordance with established approval procedures.
  • Manages employee credit card statements and expense documentation, including collecting receipts and following up on missing or incomplete information.
  • Handles and resolves vendor invoice and payment inquiries, discrepancies, and related issues.
  • Manages office and coffee supply inventories and reorders items as needed.
  • Maintains a clean, organized, and professional front office and reception area.
  • Provides administrative support to the HR Generalist and assists with routine human resources activities.
  • Assists with recruiting and onboarding activities, including scheduling, document preparation, new-hire coordination, and record collection.
  • Maintains employee training records and coordinates training schedules and related documentation.
  • Coordinates company meetings, celebrations, and other events, including logistics, supplies, and communications.
  • Assists the Purchasing Department with purchase order updates and related administrative follow-up.
  • Maintains company data and records, including accurate physical and electronic filing systems.
  • Answers incoming telephone calls and transfers or routes calls to the appropriate person or department.
  • Greets and manages visitors and follows applicable visitor procedures.
  • Receives, sorts, and distributes incoming mail and deliveries.
  • Creates and formats documents, reports, correspondence, and other administrative materials as needed.
  • Other tasks as assigned or needed by department heads.
