POSITION SUMMARY
The Office Manager will oversee daily administrative operations for the Michigan headquarters while supporting leadership, employees, vendors, and visitors. This individual will play a critical role in creating an organized, efficient, and professional workplace environment that supports F3’s rapid growth.
The ideal candidate is highly organized, detail-oriented, adaptable, and thrives in a fast-paced environment.
ESSENTIAL DUTIES & RESPONSIBILITIES
Office Operations & Administration
- Manage daily office operations and maintain a professional, welcoming headquarters environment
- Coordinate office supplies, equipment, vendors, and facility needs
- Track office, kitchen, and operational supplies and equipment, maintaining appropriate inventory levels and coordinating purchasing as needed
- Assist with tracking company issued equipment, keys, access cards, devices, and other company property
- Support onboarding and offboarding logistics for employees
- Manage incoming calls, mail, deliveries, and visitor coordination
- Maintain office organization, filing systems, and company records
- Manage and oversee company expense processes, ensuring timely and accurate submission, approval, reconciliation, and tracking of all employee and operational expenses
Executive & Team Support
- Assist leadership team with scheduling, travel coordination, meeting preparation, and administrative support
- Coordinate internal meetings, company events, and team activities
- Support communication between departments and field teams
- Maintain administrative trackers, spreadsheets, reports, and other operational documentation as requested by leadership
- Operate within a cloud-first environment utilizing Apple/Mac devices and Google Workspace, including Gmail, Calendar, Docs, Sheets, Drive, and Meet
Facilities & Vendor Coordination
- Serve as the primary point of contact for building management, contractors, and service providers
- Help oversee office maintenance, workspace setup, and operational readiness
- Coordinate with IT and operations teams to ensure headquarters functionality
- Maintain vendor contact information, contracts, service schedules, invoices, COIs, W-9s, and other vendor documentation as applicable
- Track recurring facility maintenance, inspections, cleaning, repairs, service appointments, and other facility-related requirements
- Assist with workplace safety and emergency readiness, including emergency information, first-aid supplies, workplace postings, and related materials
HR & Operational Support
- Assist with employee documentation, timekeeping, expenses and internal processes
- Help maintain company policies, procedures, and office standards
- Support recruiting coordination and candidate scheduling as needed
- Assist with technician scheduling, dispatch coordination, schedule changes, travel logistics, and communication between field technicians and internal team.
- Assist Finance with QuickBooks administrative functions, transaction and account reconciliation, invoice documentation, vendor payment coordination, and maintenance of accurate financial records
- Handle confidential employee, financial, customer, and company information with a high level of discretion and professionalism
- Support leadership and the Operations, HR, and Finance teams with administrative and operational projects as assigned
QUALIFICATIONS
Required:
- 2+ years of office coordination, administrative, operations, or executive support experience
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Ability to work independently and solve problems proactively
- Proficiency in Google Suite and Google Workspace
- Experience supporting fast-paced or growing organizations preferred
- Professional demeanor with strong interpersonal skills
Preferred:
- Experience supporting a technology, field services, logistics, or operations-driven company
- Familiarity with vendor management and office build-outs
- HR coordination or bookkeeping experience is a plus
WORK ENVIRONMENT & PHYSICAL REQUIREMENTS
- This is on site at our company headquarters in Lapeer, Michigan
- Standard business hours with flexibility for operational needs, including occasional weekend oversight
- Must possess a valid driver's license and have reliable transportation
- Ability to sit or stand for extended periods while working at a computer
- Must be able to lift up to 30 pounds
- Frequent use of Slack, video conferencing, and other virtual collaboration tools
