The ideal candidate is proactive, detail-oriented, and capable of managing a wide range of administrative and operational responsibilities. This role requires strong communication skills, exceptional customer service, and the ability to work both independently and collaboratively in a fast-paced, dynamic environment.
This is a full-time, on-site position based in New Orleans.
Key responsibilities include, but are not limited to, the following:
- Serve as the primary point of contact for the office, providing a welcoming and professional environment
- Answer and route phone calls and emails in a timely, courteous manner
- Greet and assist visitors and manage all front desk responsibilities
- Oversee incoming and outgoing mail, deliveries, packages, and courier services
- Assist with scheduling meetings and maintaining calendars as directed
- Set up, break down, organize, and maintain conference and meeting rooms
- Support staff with clerical tasks, data entry, document preparation, and office errands
- Help prepare internal reports, presentations, and other administrative documents
- Maintain inventory of office and kitchen supplies, anticipating needs and placing orders
- Monitor office equipment and coordinate maintenance or replacement as needed
- Coordinate facility-related needs, including service requests and routine maintenance
- Assist with travel arrangements and expense reporting
- Support HR-related activities, including new hire onboarding coordination and workstation setup
- High school diploma or equivalent; post-secondary educational degree is preferred
- At least two years of experience in office administration, operational support, customer service, reception, or similar administrative functions
- Ability to work in an office setting during standard business hours
- Strong customer service skills with the ability to anticipate the needs of the client
- Strong attention to detail, organization, and ability to multitask and manage multiple priorities simultaneously
- Effective time management and strong organizational skills
- Proficiency in Microsoft Office and general computer literacy
- Ability to communicate clearly and professionally, both verbally and in writing, with team members, clients, and visitors
- Reliability, professionalism, and a positive attitude dedicated to supporting staff and providing excellent service
- Flexibility to adapt to changing priorities and needs in a dynamic office environment
