What you’ll do
As the Office Assistant of our Geneva studio (5 people), you will be in charge of:
- Booking & shipping to Paris the DHL weekly/bi-weekly with documents received during the week (box letter, NDFs, tickets, etc.) …
- Managing the restock of office supplies once a month (snacks, beverages, coffee and paper for the printer) …
- Once in a time ordering paper, inks for the plotter and print with the plotter & deliver print trials to the P&G office or other locations…
- Issuing the NDFs / Expenses…
- Coordinating & welcoming any visits to the office (i.e. IBM IT people, shipments, maintenance etc.) …
- Taking care of meeting room set-up for client meetings and organizing lunches or breakfasts …
- Occasionally booking the dedicated provider for confidential documents destruction process, booking additional taxi cards, buying gifts for clients/employees, welcoming and helping eventual guests/clients coming to the Geneva office…
- Assisting in travel booking for employees (Hotel accommodations, transport Tickets, etc.) …
What you’ll need
A student in marketing, business, communications, or a related field.
You are autonomous, curious, dynamic, and proactive. You show a real interest in marketing, storytelling, media and communication, agency life and brand strategy.
You will have organisational skills, skills with Office tools and the Mac interface, rigour and be project-oriented.
Fluent in English and French is a must.
