Job Description

1. Phone, Customer, and Front Office Support

  • Answer incoming phone calls in a professional, confident, and helpful manner.
  • Greet customers, vendors, visitors, delivery personnel, and team members who come to the office.
  • Create a welcoming and professional first impression for Bish Enterprises.
  • Direct calls, messages, visitors, and questions to the appropriate team member.
  • Communicate clearly and respectfully with customers, vendors, and internal team members.
  • Take accurate messages and follow through to make sure the right person receives the information.

2. Administrative and Office Support

  • Print, scan, copy, file, and organize documents as needed.
  • Assist with data entry, document preparation, office records, and daily administrative tasks.
  • Help maintain organized office files, records, and important documents so information can be found quickly when needed.
  • Support managers and team members with office tasks, forms, reports, and follow-up items.
  • Maintain office supplies, track when items need to be ordered, and help keep the office clean, organized, and functional.
  • Learn and follow established office routines while taking ownership of assigned responsibilities.

3. Excel, Reporting, and Documentation

  • Create, update, and maintain Excel spreadsheets from scratch as needed.
  • Prepare basic reports, lists, trackers, and organized summaries for management and team use.
  • Enter and organize information accurately, with strong attention to detail.
  • Help compile information in a clear, usable format for internal decision-making.
  • Maintain accurate documentation and protect confidential company, customer, and employee information.

4. Accounting and Payment Support

  • Assist with basic accounts payable and accounts receivable office support.
  • Help organize invoices, customer statements, payment records, vendor information, and related documents.
  • Support customer payment follow-up in a professional and respectful manner.
  • Help track open items, payment questions, and related follow-up tasks.
  • Work with the appropriate team members to keep accounting-related documents and information organized.

5. Recruiting and Scheduling Support

  • Assist with applicant screening, candidate communication, and interview scheduling.
  • Use SmartRecruiters or similar applicant tracking tools to help organize applicants and hiring follow-up.
  • Help coordinate interview times, send follow-up messages, and keep recruiting information organized.
  • Support managers with hiring-related communication and documentation as needed.

6. Communication and Follow-Up

  • Follow up with team members on tasks, reminders, updates, and pending items.
  • Make phone calls or send follow-up messages as requested.
  • Help keep internal communication organized and aligned.
  • Notice when something needs attention and communicate it clearly.
  • Ask good questions, take notes, remember routines, and follow through on assigned tasks.

7. Deliveries, Mail, Errands, and Practical Office Tasks

  • Receive and organize mail, documents, packages, and deliveries.
  • Notify the appropriate person when deliveries, documents, or customer items arrive.
  • Assist with occasional local errands, such as going to the bank, dropping off documents, or picking up office-related items.
  • Occasionally handle packages, walk around the facility, and assist with practical hands-on office tasks as needed.

8. Brand Representation

  • Uphold Bish Enterprises’ values and commitment to providing practical, innovative solutions to the agricultural industry.
  • Represent the company in a professional, friendly, assertive, and respectful manner.
  • Maintain a customer-focused attitude while working in a practical, family-owned, hands-on business environment.

Qualifications

Required Qualifications

  • High school diploma or GED.
  • Previous office, receptionist, administrative assistant, front desk, customer service office, accounting support, or similar experience.
  • Ability to answer phones confidently and communicate professionally with customers, vendors, visitors, and team members.
  • Proficiency with Microsoft Excel, including creating spreadsheets from scratch, entering and organizing data accurately, and preparing basic reports.
  • Comfortable using Microsoft Office, email, online tools, and standard office technology.
  • Comfortable using standard office equipment such as phones, printers, scanners, copiers, and related office tools.
  • Strong attention to detail and ability to complete tasks accurately.
  • Ability to manage multiple small tasks throughout the day.
  • Ability to learn quickly, ask good questions, take notes, remember routines, and become independent after training.
  • Ability to follow established processes while also noticing problems and taking initiative when something needs attention.
  • Reliable attendance and punctuality.
  • Professional, friendly, and assertive communication style.
  • Ability to maintain confidentiality and use good judgment.
  • Valid driver’s license for occasional local errands.

Strongly Preferred Qualifications

  • At least 2 years of relevant office, administrative, receptionist, customer service office, accounting support, or similar experience.
  • Experience with accounts payable, accounts receivable, invoices, customer statements, payment records, or customer payment follow-up.
  • Experience creating reports, trackers, lists, or organized summaries in Excel.
  • Experience with applicant tracking systems, SmartRecruiters, CRM systems, or similar online platforms.
  • Experience scheduling interviews, appointments, meetings, or customer follow-ups.
  • Experience working in an agriculture, manufacturing, equipment, parts, service, or family-owned business environment.
  • Experience with QuickBooks, accounting software, ERP systems, CRM systems, or other business software.

Preferred, But Not Required

  • Basic bookkeeping or accounting knowledge.
  • Customer account management experience.
  • Recruiting or HR administrative support experience.
  • Experience troubleshooting basic office equipment issues.
  • Familiarity with agricultural equipment, parts, service departments, or shop/office environments.

Additional Information

Job Type:

  • On-site position

 

Compensation:

  • Wage range: $16.00 – $18.00 per hour, depending on experience

 

Hours/Work Week:

  • This is a full-time, on-site position based in Giltner, Nebraska.
  • Standard hours are generally Monday–Friday, 8:00 AM–5:00 PM. During peak business seasons, especially harvest season from approximately June through early November, the schedule may increase to around 50 hours per week, with Saturdays required as needed.
  • Occasional flexibility may be needed based on business needs, customer needs, inventory periods, planting/harvest activity, or other busy seasons.

This is primarily an office position, but the role is not limited to sitting at a desk. The Office Assistant may occasionally need to:

  • Handle mail, packages, documents, and office supplies.
  • Walk around the office, shop, yard, or facility to deliver messages, documents, or items.
  • Assist with deliveries, errands, filing, organizing, and practical office support tasks.
  • Use office equipment such as phones, printers, scanners, copiers, and computers.
