Job Summary (Summary of the basic functions of the position)
Under the direction of the Office Manager, the Office Assistant supports with office work directly related to inventory management, inspections, Physician licensure support, meeting management, record-keeping and banking deposit submission.
Duties and Responsibilities (Responsibilities necessary to accomplish job functions)
- Maintains office procedures and assists with administrative tasks
- Taking deposits to the bank
- Coordinating fire extinguisher inspections
- State Medical Licensure support for Physicians
- Staff meeting minutes and distribution
- Receipt and distribution of clinic mail/packages
- Duplicates and distributes materials as necessary.
- Composes, types and edits correspondence, reports, memoranda and other material.
- Office supply inventory management
- Product inventory and order support- receiving and stocking
- Performs other duties that may be necessary or in the best interest of the organization.
Experience Requirements
- High School/GED degree
- Bachelor’s degree, preferred
- Previous experience in an office assistance function, preferred
- Experience working in healthcare, preferred
- Spanish Bilingual, preferred
Knowledge, Skills and Abilities Requirements
- Proficiency in general administrative computer skills such as Microsoft applications.
- Willingness to learn clinic's business platforms such as Nextech, Teams, etc.
- Must demonstrate professionalism in online and in person communication and etiquette.
- Personable, positive with a strong customer service skills
- Detail oriented, professional attitude, reliable
- Ability to follow or provide verbal & written instructions with sufficient grammar and spelling skills to avoid mistakes or misinterpretations
- Proven interpersonal skills to support customer service, functional, and team mate support needs
- Able to communicate effectively in English, both verbally and in writing
- Mathematical and/or analytical ability for basic to intermediate problem solving
- Basic to intermediate computer operation
- Proficiency with Microsoft Excel, Word, and Outlook
- Travel: Up to 10%
- Knowledge of state and federal regulations for this position; general understanding of HIPAA guidelines
