Position Overview
The Office Administrator role is responsible for performing functional and administrative tasks on a day-to-day basis in support of the company's operational needs. This role supports smooth office operations, such as reception functions, resource supply, and excellent customer service. The Office Administrator will be responsible for supporting the day-to-day office activities, such as meeting coordination, catering meals, and vendor management. This person should have excellent interpersonal communication and customer service skills. This position will report to the Director of Labs and Facilities.
Responsibilities
Office Operations
- Receive and direct guests and phone calls.
- Manage access for guests (procuring badges, collecting NDAs, etc.)
- Provide support for company events.
- Submit service requests to internal facilities, building facilities, and janitorial staff.
- Familiarity with the safety protocols and plans.
- Standing member of the safety committee.
- Provide back up for shipping and receiving functions.
- Collect and distribute mail.
- Facilitate normal office and breakroom operations.
- Efficiently and competently resolve a wide variety of concerns for employees.
Resource Management
- Stock office supplies and amenities.
- Work collaboratively with fellow operations staff.
- Manage coffee and snacks for the office.
- Identify opportunities for cost savings.
- Vendor management for various services.
Qualifications
- 1 year of Office Administration, laboratory, or equivalent experience.
- Biotech/Pharmaceutical experience preferred.
- Excellent customer service skills.
- Ability to learn new systems quickly.
- Communication and problem-solving abilities.
- Organized and detail-oriented, with the ability to manage multiple tasks and projects simultaneously.
