Job Description

We are looking for a proactive, highly organized, and reliable Office Administrator to support the day-to-day operations of our Miami office while working closely with leadership in a dynamic and fast-paced environment.

This role combines office operations, administrative coordination, and hands-on support to leadership. You will play a key role in ensuring the smooth functioning of the office while assisting with scheduling, logistics, and a wide range of coordination needs.

The ideal candidate is detail-oriented, adaptable, and comfortable operating in a high-touch environment where priorities can shift quickly. This role requires strong ownership, responsiveness, and a service-oriented mindset.


Core Responsibilities


Office & Facilities Management

• Ensure the organization, functionality, and overall readiness of office spaces by coordinating with cleaning staff, building management, and service providers
• Coordinate maintenance, repairs, and general facilities needs
• Manage office supplies, inventory, and vendor relationships
• Support onboarding logistics, workspace setup, and office access
• Ensure smooth day-to-day office operations and workplace organization
• Provide hands-on support when needed, including receiving deliveries, organizing supplies, and assisting with light physical tasks in coordination with the logistics team


Administrative & Leadership Support

• Support leadership with calendar coordination, scheduling, and daily administrative needs
• Coordinate meetings, manage logistics, and assist with prioritization of commitments
• Support preparation of meetings, materials, and follow-ups
• Assist with travel planning, reservations, and last-minute changes
• Handle day-to-day coordination needs such as food orders, internal logistics, and small events
• Operate in a fast-paced, high-touch environment requiring responsiveness and flexibility


Travel & Logistics Coordination

• Coordinate business travel arrangements, including itineraries and bookings
• Assist with shipments, deliveries, and coordination with vendors and courier services
• Track office equipment and support basic inventory organization


Vendor & Operational Coordination

• Act as a point of contact for vendors and service providers
• Follow up on service requests, deliveries, and maintenance activities
• Support invoice tracking and coordination related to office operations


Requirements

• Fluent in Spanish
• Experience in administrative, office coordination, or similar roles
• Experience supporting leadership with scheduling and coordination
• Strong proficiency in Microsoft Office, especially Outlook (calendar management, scheduling, and coordination across time zones)
• Strong organizational and multitasking skills
• High level of reliability, responsiveness, and attention to detail
• Ability to work in a fast-paced environment with shifting priorities
• Strong communication skills and ability to interact with different stakeholders
• Hands-on mindset and willingness to support both operational and administrative tasks
• Familiarity with AI tools to support productivity and organization


Nice to Have

• Experience working with teams or environments across Latin America
• Experience in startup or high-growth environments
• Exposure to travel coordination, logistics, or vendor management
