The Role

Position Summary 

The Receptionist serves as the first point of contact for visitors, clients, and employees. This role is responsible for creating a welcoming, professional environment while managing front desk operations, handling communications, and supporting day-to-day administrative and facility needs. 

Key Responsibilities 

  • Greet and assist visitors, clients, and vendors in a friendly and professional manner. 
  • Answer and direct calls from the main phone line. 
  • Manage the reception area to ensure it is clean, organized, and presentable. 
  • Receive, sort, and distribute daily mail and packages. 
  • Create and process FedEx shipping labels and coordinate outgoing shipments. 
  • Order office and breakroom supplies and monitor inventory levels. 
  • Restock supplies across all floors on a daily basis. 
  • Coordinate bereavement flower orders on behalf of the company. 
  • Manage and maintain the visitor management system. 
  • Issue, update, and audit employee parking permits. 
  • Fulfill personal protective equipment (PPE) requests. 
  • Manage the Jackson lobby calendar and coordinate lobby usage. 
  • Maintain and manage the office key lockbox. 
  • Schedule, set up, and tear down conference rooms, including Park View and lower-level spaces. 
  • Maintain visitor logs and issue badges, if applicable. 
  • Provide general administrative support such as data entry, filing, and document preparation. 

Qualifications 

  • High school diploma or equivalent required; associate degree or relevant coursework preferred. 
  • 1–2 years of customer service, receptionist, or administrative experience preferred. 
  • Strong verbal and written communication skills. 
  • Professional, friendly, and customer-focused demeanor. 
  • Proficient in Microsoft Office or similar office software. 
  • Ability to multitask and stay organized in a fast-paced environment.
