The role is key to ensuring smooth operations within the local Baxter office. You will provide essential administrative support to the team, act as the primary point of contact for Sales and other functions, and oversee day-to-day office management. Working closely with the Sales team, you’ll help coordinate customer-related events and activities, while also managing office documentation, organizing meetings, arranging travel, and maintaining office supplies. This position is perfect for someone who enjoys being at the center of operations, thrives on collaboration, and takes pride in creating an efficient and welcoming office environment.
Key Responsibilities
We are looking for a proactive and detail-oriented Office Administrator to ensure smooth daily operations and support various administrative functions. Your responsibilities will include:
- Front Desk & Communication: Managing incoming calls, correspondence, and courier services.
- Office Operations: Coordinating office rentals, liaising with the landlord, and overseeing office maintenance and supplies.
- Travel & Logistics: Booking business travel and managing related documentation.
- Fleet & Car Policy Management: Coordinating vehicle maintenance, insurance claims, and compliance with company car policies.
- Vendor & Contract Management: Maintaining records of local supplier contracts and supporting invoice processing and reconciliation.
- Document & Asset Management: Handling document archiving, scanning, and fixed asset inventory and transfers.
- Finance Support: Registering invoices, managing expense reports, and collaborating with the finance team for month-end closing.
- Health & Safety: Supporting occupational safety, fire safety compliance, and coordinating with external providers.
- General Office Support: Organizing meetings, assisting with translations, and supporting internal teams with administrative tasks.
REQUIREMENTS:

- Strong English communication skills – both written and spoken.
- 2–3 years of experience in an administrative or office support role.

- Proficient in MS Office and comfortable with digital tools.
- Exceptional time management and organizational abilities.
