What You'll Do 

We are looking for a proactive, organized, and attentive Office Administrator for our corporate headquarters in Old Town Scottsdale. This position oversees visitors to the office and ensures a friendly, personal experience. We are looking for someone to ensure peak operations for the organization, implement policies and procedures, measure outcomes against standards, and improve overall operational flow.

  • Manage the day-to-day operations of the office to ensure that all administrative tasks are completed efficiently and effectively
  • Coordinate and book travel for employees and visitors 
  • Execute office policies and procedures to ensure the smooth functioning of the office 
  • Ensure that all supplies are stocked, and that office equipment is functioning properly
  • Organize and schedule meetings
  • Serve as the primary point of contact for clients, vendors, and other external stakeholders
  • Greet and welcome guests as soon as they arrive at the office and manage visitors appropriately
  • Ensure the office is well-maintained and functional - common expectations include maintaining printer stations (supplies stocked and machines in working order), break areas, and conference rooms kept neat and orderly, etc.
  • Order catering as requested, i.e., corporate meetings, VIP visitors, etc. 
  • Corporate condo management including ordering supplies and tracking guest reservations
  • Receive and sort daily mail/deliveries/couriers, handle electronic stamps for outgoing, FedEx, and shipping, and assist Marketing with large shipments for tradeshows
  • Provide administrative assistance to executives, including travel arrangements, hotel/corporate condo stays, expense reports, onsite meetings, and VIP visitor planning and execution 

What You'll Bring

  • 1-3 years of office administration or related administrative support experience with the ability to organize, multitask, prioritize, and work under pressure 
  • Proficient with Microsoft Office applications (Outlook, Teams, Word, Excel, etc.) and aptitude for learning new software and systems
  • Physical ability to routinely lift, carry, and move office materials and travel between buildings 
  • Exceptional interpersonal, written, and verbal communication skills
  • Ability to influence others, handle conflict appropriately, know when to escalate issues upward, and when to apply common sense
  • Ability to handle administrative details independently with proactive ownership of results while exercising good judgment in keeping team members informed
  • Ability to maintain confidentiality
  • Able to commute to our office in Old Town Scottsdale and respond to emergencies off-hours, as needed
