Responsibilities & QualificationsThe Novelis Novi team is looking for an Office Administrator to serve as the welcoming face and steady hand behind our office. In this highly visible, customer-facing role, you'll be the go-to person who keeps the office running smoothly while creating a great experience for employees, visitors, and customers alike — covering reception, office operations, employee experience, purchasing support, and local HR compliance activities. Working closely with site leadership, HR, EHS, Procurement, Finance, and customer-facing leaders, you'll play a vital role in supporting strategic customer relationships and driving customer satisfaction — all while ensuring the office runs smoothly. This position requires a strong customer-service mindset, exceptional organizational skills, and the ability to manage multiple priorities simultaneously. You'll work closely with customer-facing leaders and play a vital role in supporting strategic customer relationships and driving customer satisfaction. The customer-facing nature of this role offers a dynamic and engaging environment involving a mix of coordination, planning, support, and operations. Responsibilities
Reception, Customer & Visitor Support
- Serve as the first point of contact for employees, visitors, vendors, and customers.
- Welcome visitors, manage the sign-in process, coordinate temporary badges, and notify employee hosts of arrivals.
- Support visitor orientation and ensure visitors follow required site procedures.
- Manage incoming calls, mail, packages, and deliveries.
- Maintain a professional and welcoming reception area that reflects positively on the customer experience.
Office Operations & Administration
- Coordinate, track, and maintain office supplies, snacks, beverages, and other workplace needs.
- Manage conference room scheduling, office communications, seating charts, office directories, and shared resources.
- Coordinate administrative records, vendor contacts, and routine office documentation.
- Support onboarding and offboarding logistics, including badges, business cards, desk assignments, and workspace transitions.
- Organize and administer site leadership meetings bi-monthly to maintain and move forward agenda on office needs from all groups using the office.
- Serve as the administrative point of contact for routine office-related service requests, partnering with EHS and facility-related resources to communicate and coordinate workplace needs.
- Coordinate routine office vendors, including office services, catering, plant maintenance, janitorial services, and similar workplace support providers; schedule and communicate vendor visits.
Purchasing & Financial Administration
- Responsible for purchase orders, invoices, vendor setup, payment requests, and office and business related items for Novi office operations.
- Manage recurring office expenses, utilities, office services, supplies, and other site-related costs.
- Maintain purchasing records and support expense tracking and reconciliation.
- Serve as a central administrative resource for office purchasing needs.
Employee Experience, Culture & Community Engagement
- Plan and coordinate employee events, celebrations, site activities, and employee appreciation programs.
- Support Employee Resource Group (ERG) activities and events.
- Coordinate volunteer opportunities and community engagement initiatives.
- Assist with planning, particularly with logistics, for Town Halls, leadership visits, employee meetings, large customer events, and office-wide events.
- Partner with leaders to help create a positive and engaging workplace culture.
HR & Compliance Support
- Post required employment and immigration notices in accordance with applicable regulations and company requirements.
- Support employment-based visa processes through required onsite posting activities.
- Collect, review, and securely scan Form I-9 documentation for newly hired employees.
- Coordinate with HR to support local onboarding compliance activities.
- Maintain confidentiality and appropriately handle sensitive employee information.
Minimum Qualifications
- High school diploma or equivalent required.
- 3+ years of experience in office administration, office management, workplace services, hospitality, customer service, event coordination, or a related role.
- Strong organizational and multitasking skills with the ability to manage competing priorities.
- Excellent interpersonal, communication, and customer-service skills.
- Strong attention to detail and ability to handle confidential information appropriately.
- Proficiency with Microsoft Office Suite, Outlook, Teams, and related business applications.
- Demonstrated ability to work independently and take initiative in a fast-paced environment.

- Associate's or Bachelor's degree preferred.

Physical Requirements
- Ability to regularly move throughout the office and support onsite workplace activities.

- Ability to assist with event setup and teardown, including moving tables, chairs, boxes, displays, and other materials as required.
- Ability to stand, walk, bend, reach, and perform light physical tasks associated with office operations and event coordination.
