Job Duties
  • Serve as the primary administrative support for the Collision Center and assist with the daily coordination of office operations.
  • Greet customers, answer phones, respond to inquiries, and provide professional and courteous customer service.
  • Schedule appointments, coordinate customer drop-offs and vehicle pickups, and communicate scheduling changes.
  • Open, maintain, and update customer repair orders and ensure information is complete and accurate.
  • Assist with insurance claims, including gathering required information, communicating with insurance companies, and maintaining claim documentation.
  • Process invoices, payments, receipts, and other administrative paperwork accurately and timely.
  • Coordinate communication between customers, technicians, estimators, insurance companies, and management.
  • Maintain accurate customer and vehicle records and ensure required documentation is properly filed.
  • Assist with rental vehicle coordination and other customer transportation needs.
  • Follow up with customers regarding repair status, completion dates, payments, and vehicle pickup.
  • Assist with title, registration, warranty, and other documentation as needed.
  • Monitor repair orders and administrative tasks to help ensure vehicles move through the repair process efficiently.
  • Maintain a clean, organized, and professional front office and customer waiting area.
  • Protect customer confidentiality and handle sensitive information appropriately.
  • Follow all company policies, procedures, and safety requirements.
  • Perform other administrative duties as assigned.
QualificationsQualifications
  • High school diploma or equivalent required.
  • Previous administrative, office, customer service, automotive, dealership, or collision center experience preferred.
  • Excellent customer service and communication skills.
  • Strong attention to detail and accuracy.
  • Ability to effectively communicate with customers, insurance companies, employees, and vendors.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Proficiency with Microsoft Office and the ability to learn company-specific software and systems.
  • Ability to maintain accurate records and handle confidential information.
  • Professional appearance and demeanor.
  • Ability to work effectively in a fast-paced environment.
  • Strong problem-solving skills and the ability to follow through on customer and administrative issues.
  • Ability to work independently while also functioning effectively as part of a team.
  • Automotive or collision repair industry knowledge is a plus, but not required.
