Position Summary:
We are seeking a proactive, organized, and service-oriented Office Administrative Assistant to support the efficient day-to-day operation of our office and create a positive experience for team members, clients, and visitors. This role provides front desk coverage, assists with office operations, coordinates meetings and events, maintains office supplies and shared spaces, and provides administrative support to team members and leadership.
Reporting to the Office Manager, the Office Administrative Assistant works closely with firm leadership, administrative teams, and client-facing professionals to ensure the office remains organized, welcoming, and operating smoothly. The ideal candidate is professional, dependable, detail-oriented, and comfortable managing multiple priorities in a fast-paced professional services environment while maintaining a high level of customer service and professionalism.
Key Duties/Responsibilities:
  • Provide professional front desk and administrative support, including welcoming visitors, directing them to the appropriate team members, and answering, screening, and transferring incoming calls while responding to general administrative inquiries.
  • Format, prepare, and distribute documents and communications using Microsoft Office, Adobe, and other firm systems.
  • Perform tasks within the Firm’s ERP system and other administrative systems as directed by the Office Manager and/or firm leaders.
  • Retrieve and compile information from records and systems and prepare written summaries, reports, and other documentation as requested.
  • Record, prepare, and distribute meeting minutes and other meeting-related documentation.
  • Process and distribute incoming and outgoing mail, packages, and deliveries.
  • Coordinate lunch and dinner orders during busy season, office events, and other firm functions, as well as assist with coordinating external meetings hosted in the offices.
  • Partner with the Office Manager and building management to ensure both office locations remain organized, well-maintained, and operate efficiently.
  • Monitor office supply inventory, place orders as needed, and coordinate with vendors to support ongoing office operations.
  • Stock and maintain breakrooms with snacks and beverages while helping ensure kitchens, refrigerators, and common areas remain clean, organized, and well-stocked.
  • Prepare and maintain conference rooms and ensure office equipment, supplies, and shared spaces are functional, organized, and ready for daily use.
  • Travel to the Lehi office approximately every other week to provide administrative support, front desk coverage, and operational assistance.
  • Provide clerical and administrative support to team members at all levels, including assisting with employee events, meetings, onboarding activities, and office celebrations.
  • Assist with special projects and other administrative and operational initiatives as assigned by the Office Manager and/or firm leaders.

Required Skills/Abilities:
  • Demonstrates professionalism, integrity, discretion, and sound judgment when handling confidential and sensitive information.
  • Excellent interpersonal, customer service, verbal, and written communication skills, with the ability to interact effectively with clients, partners, team members, and visitors.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities, meet deadlines, and handle competing requests.
  • Dependable, punctual, self-motivated, and able to work independently while maintaining a positive, team-oriented attitude.
  • Proactive in identifying and resolving office needs and willing to assist with a variety of tasks as needed.
  • Proficient in Microsoft Office Suite and familiar with general office procedures, including recordkeeping, filing, and administrative support functions.
  • High school diploma or equivalent required; previous experience in administration, reception, office coordination, hospitality, or customer service is preferred.

Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Pay:
$20 - $24 an hour DOE
Hours:
This is a full-time hourly position with general business hours of Monday through Friday, 8:00 a.m. to 5:00 p.m.; business needs may occasionally require flexibility outside of standard hours. In office in Salt Lake City.
 

Skills Required

  • High school diploma or equivalent
  • Proficient in Microsoft Office Suite
  • Proficiency with Adobe and document formatting
  • Experience using ERP or other administrative systems
  • Previous experience in administration, reception, office coordination, hospitality, or customer service
  • Demonstrated professionalism, integrity, discretion handling confidential information
  • Excellent interpersonal, verbal, and written communication skills
  • Highly organized with strong attention to detail and ability to manage multiple priorities
  • Dependable, punctual, self-motivated, able to work independently and in a team
  • Ability to lift up to 15 pounds and sit for prolonged periods
