About the Role

OpenLoop is looking for an Office Administrative Assistant (Contract) to join our team at HQ in Des Moines, IA. In this role, you will be responsible for providing essential support to ensure the smooth and efficient operation of daily office and administrative functions. You’ll play a key role in supporting internal teams, organizing schedules, and maintaining excellent communication across the organization.

 

What You'll Do

  • Manage calendars, schedule meetings, and coordinate travel logistics for team members.
  • Prepare and format documents, reports, and presentations with a high degree of accuracy.
  • Greet guests and serve as the main point of contact for office-related inquiries and assist with in-office event coordination.
  • Maintain office organization, including supply inventory, mail distribution, snack and vendor coordination.
  • Assist in special projects related to the office or administrative needs of the CEO.
  • Support facilities needs including office access management, maintenance requests, safety procedures, and office layout planning.
  • Assist with event planning, meeting coordination, and team communications.
  • Provide executive support as needed, including managing calendars, scheduling meetings, coordinating travel, and handling administrative requests with discretion and attention to detail.
  • Other duties as assigned.

Who You Are

  • Bachelor's degree and experience in an administrative support role (preferred but not required).
  • Highly organized and detail-oriented, with strong time management skills.
  • Proactive and resourceful with the ability to anticipate needs and solve problems.
  • Clear and professional communicator, both written and verbal.
  • Comfortable working independently and collaborating in a fast-paced team environment.
  • Proficient in Microsoft Office Suite, Google Workspace, and Zoom or similar platforms.
  • Demonstrates a high level of customer service and a strong attention to detail, ensuring both internal and external clients feel valued and well-supported.
