The Role

Join Vanguard's Transfer Agency Wires Money Movement team! As a Money Movement Processing Associate, you play a crucial role in supporting incoming and manual outgoing wires along with other critical monetary functions. Our team is dedicated to delivering seamless, scalable experiences while safeguarding Vanguard and providing risk-adjusted value for our Transfer Agent clients. In this role, you will process and report Money Movement transactions, including incoming/outgoing wires, through various vendor and Vanguard systems.

In addition, you will serve as a trusted operational steward, maintaining high standards of service and protection for Vanguard and its clients. Responsibilities:

  • Receive, review, research, and process transactions for Transfer Agents (TA) and Broker Dealers (BD) utilizing Vanguard systems. Review transactions for accuracy, completeness, and adherence to all internal and external regulations. Ensure timely completion of all client requests with minimal rework required.

  • Produce several control and end-of-day reports on a daily basis.

  • Demonstrate and maintain a comprehensive knowledge of Vanguard policies and procedures. Maintain departmental standards for quality and productivity.

  • Demonstrate active engagement in improving the client experience through participating in feedback sessions and process improvement discussions. Support Vanguard Unmatchable Excellence (VUE) and actively participate in process improvement projects. Identify improvement opportunities and work with management to implement solutions.

  • Sustain effective work relationships by handling interactions professionally and cooperatively. Advise of issues impacting the team and business. Build productive relationships across the organization, focusing on exceeding client expectations. Identify ways to simplify processes for clients and minimize effort while mitigating risk.

  • Demonstrate ‘best practices’ as an expert resource by maintaining an extensive knowledge of all primary and secondary departmental processing functions and Vanguard's processing systems as well as our vendor websites.

  • Perform Same Day Quality Audit (SDQA) functions and provide feedback on quality trends and educational opportunities to the Team Leader. Provide guidance when necessary to ensure concepts and procedures are understood by less tenured associates.

  • Demonstrate logical, systematic approach to problem solving, focusing on client expectations, risk, and improving effectiveness and efficiency of operations. Leverage resources to independently meet challenges and provide viable alternative solutions as needed.

  • Participate in special projects and perform other duties as assigned.

Qualifications:

  • Undergraduate degree or equivalent experience preferred, with a minimum of two years general experience and one year industry experience.

  • Demonstrated client relationship management skills, strong attention to detail, and excellent oral and written communication abilities.

  • Effective problem resolution, time management, and ability to prioritize and handle multiple tasks in a high-volume, rapidly changing environment.

  • Positive attitude and willingness to work collaboratively within a team.

  • Working knowledge of Microsoft Office and PCs.
