Job Summary 

Meeting planners support the execution of small and large health and scientific events, organizing pre-planning, on-site and post-event activities. Meeting planners have 3-5 years of professional experience providing logistics, planning and event support. Lumina is looking for a meeting planner who is passionate about supporting important public health and science programs and enhancing our growing team. Candidates must be based in the DMV area for this hybrid role. 

What You’ll Do

  • Responsible for successful meeting execution including ensuring all deliverables are of high quality.  
  • Plans logistics for all meeting needs, whether in-person, virtual or hybrid.   
  • Manages virtual events and continuously learns new tools and platforms.  
  • Develops work plans and timelines, creates deliverables, and coordinates the work of other team contributors and specialists. 
  • Manages quality control for one’s own work, producing excellent meeting and conference tasks and projects.  
  • Performs on-site meeting support duties for in-person meetings and conferences.  
  • Offers counsel to clients from a knowledge base of the best practices and regulations for government and non-government meetings, both in-person and virtual.  
  • Builds and maintains strong relationships through excellent service, collaboration and quality control.   
  • Acts as a direct client liaison on assigned projects.  
  • Acts as liaison with accounting for vendor payments and traveler reimbursements.  

Qualifications  

  • Excellent organizational skills with the ability to multi-task, prioritize and work independently.    
  • Strong written and verbal communication skills.  
  • A positive, solutions-oriented attitude, adaptable to various challenges and tasks.   

Education and Experience Required 

  • Bachelor’s degree in related field   
  • Minimum of 3 years of full-time work in event planning  
  • Experience with federal government regulations and procedures  

Knowledge, Skills, and Abilities Required 

  • Proven ability to build strong positive client relationships 
  • Professional knowledge of federal government meeting planning, travel regulations and processes 
  • Prior certification or willingness to become certified in meeting planning
