Organization Overview:

The purpose of the Lilly Marketing Studios (LMS) Workflow and Operations Associate role is to right-size LMS project and resource capacity by optimizing workflow within the LMS teams.

The Workflow and Operations Associate will employ multiple tools to monitor utilization of LMS resources and evaluate user capacity against assigned work, identify opportunities to improve output or areas where constraints may exist, devise solutions to address constraints and challenges, and work with LMS Leadership to implement ideas which would improve process efficiency, speed of production, and reduce errors and rework within the agile methodology for marketing material production.

The Workflow and Operations Associate will provide regular feedback, including metrics, reports, or other methods of communicating information to LMS Leadership.

This role will also help to evolve application and use of the project management/resource capacity tools throughout LMS, be the source of expertise on tools which are used, serve as a primary trainer and resource for users of the systems, research industry 'best practices' to identify areas where LMS could adopt improvements, and partner with LMS Leadership to deploy those practices within the Lilly USA environment.

This role will work to ensure quality, speed, value, and compliance within the Customer Information Materials Lifecycle and alignment with LMS Strategies.

Responsibilities:

  • Optimize Capacity and Utilization
    • Utilize system tools to have a better understanding of upcoming projects for LMS.
    • Coordinate with cross-functional peers to to assess resource capacity and devise solutions to address resource constraints.
    • Participate actively with scheduling and planning of LMS tactics to ensure in-market dates are achieved while minimizing and adjusting for resource constraints.
    • Review timelines and job status with Account Leads, Creative Leads, Digital Leads, and the individuals working on the jobs.
    • Report potential issues with workload and team health
    • Attend weekly status meetings; provide updates on current projects in flight
  • Tracking and Reporting
    • Align and report on key performance indicators
    • Identify and recommend opportunities to reduce cycle times and rework while maintaining quality and compliance
    • Track errors, and work to solution fixes, whether internally or externally driven
  • Application of Project Management/Resource Capacity Tools
    • Identify opportunities to evolve how project management tools and systems are used to drive efficiencies within within LMS.
    • Participate in discussions with project management/resource capacity tools governance team; consult with LMS Leadership as needed to define solutions, develop rollout plans, and support training



Basic Requirements:

  • Bachelor's degree
  • Two years of relevant experience in an advertising or digital production agency environment
  • Two years of active experience utilizing a project management software tool, preferably as a power user or administrator



Additional Skills/Preferences:

  • Three years of proven success in project management
  • One year experience with Agile methodology
  • Deep understanding of project and capacity management
  • Previous experience using one or more project management or resource planning software tools such as Wrike, Jira, Workfront, Trello, BaseCamp, etc.
  • Demonstrated ability to achieve results by proactively engaging with people across functions and leading without authority
  • Passion for quality and continuous improvement
  • Proven ability to be accountable, adaptable, and learn quickly in a complex and dynamic environment.
  • Demonstrated ability to leverage data to drive shifts in behavior
