Position Summary:
The Marketing Operations Manager serves as the operational PMO for the marketing team — running the team's project tracking system, meeting cadences, resourcing visibility, and cross-team reporting. It also leads managing inbound marketing requests from colleagues across the firm.
As the team PMO, the role owns the marketing team's day-to-day project operations: maintaining the team's Asana operating structure, running status and resourcing reporting, and overseeing large projects and processes. This also includes managing inbound marketing requests and serving as air-traffic control to receive and either execute or route requests. It requires a service orientation and is the first point of contact for all requestors.
This is an execution and operations role focused on running the team's operating system and making continuous improvements to drive scale and efficiency. The right candidate is obsessively organized, service-oriented, and comfortable taking operational command of a team, working with the CMO and marketing pillar leads.
Primary Responsibilities
Team PMO & Operations (~50%)
- Own and maintain the marketing team's Asana operating structure — projects, workflows, task hygiene, and templates — across all workstreams (brand, content, digital, events, institutional, practice marketing)
- Build and maintain dashboards and status reports that give team leads and the CMO real-time visibility into project status, bottlenecks, and risk
- Track team capacity and resourcing across concurrent projects; flag overallocation or timeline conflicts to the appropriate lead before they become escalations
- Support the team's recurring meeting cadence and own regular project status check-ins — building agendas, capturing action items, and following up on open items for team meetings, project check-ins, and leadership updates
- Prepare consolidated status materials for CMO 1:1s with senior stakeholders and leadership reporting
- Extract and track action items from meeting notes and recordings into Asana, ensuring accountable owners and due dates are assigned
- Maintain and continuously improve PMO documentation — intake workflows, SLA definitions, project templates, and standard operating procedures
- Coordinate cross-functional dependencies between marketing workstreams and other internal teams (compliance, design, digital, content)
- Build and maintain intake and request-volume reporting to identify recurring patterns and inform team process and staffing decisions
Request Intake & Triage (~50%)
- Serve as the primary point of contact for all inbound marketing requests submitted via the firm's marketing intake form
- Review and categorize requests by service type, business unit, and urgency; confirm receipt and set expectations with requestors promptly
- Provide consistent, on-script status updates throughout the lifecycle of each request
- Manage stakeholder expectations professionally when timelines shift or requests require redirection
- Build credibility with advisors and internal teams as a reliable, responsive point of contact for marketing support
- Assess each submission against established scope, SLA, and marketing policy to determine the appropriate course of action
- Gather missing information from requestors where needed before routing or executing
- Escalate requests that require team discussion, are complex, or come from VIPs
- Execute requests that align to the template library. Coordinate with internal team members (design, digital, content, compliance) as needed to execute bespoke requests that fit within SLA
- Maintain accurate status records for all open requests in the firm's project management system (Asana)
- Own intake process, SLA, and colleague experience improvement
- Document recurring scope issues and surface patterns to inform evolution
- Own and manage the firmwide Marketing resources intranet page
Required Qualifications:
- 5-10 years of experience in marketing operations, PMO, marketing coordination, account services, project management, or client services
- Demonstrated experience running a project management system (Asana, Monday.com, Workfront, or similar) for a team, including project/task structure, status tracking, and reporting — not just personal task use
- Demonstrated ability to manage multiple concurrent requests or projects with accuracy and professionalism
- Strong written communication skills — able to produce clear, professional stakeholder updates, policy-based responses, and status reporting for leadership audiences
- Comfort working within defined processes and systems, balanced with the ability to build and improve operating rhythms and documentation from scratch
- Sound judgment to apply scope and compliance policies accurately, including the confidence to professionally decline or redirect requests that fall outside defined parameters
- Detail-oriented and organized, with experience tracking resourcing or capacity across a team
- Strong command of Excel and PowerPoint
- Ability to work collaboratively, resourcefully, and with a calm, solutions-oriented approach across both reactive and cadence-driven work
- Degree in Marketing, Communications, Business, or a related field a plus
Preferred Qualifications:
- Experience in financial services, professional services, or another regulated industry
- Familiarity with marketing compliance considerations (e.g., SEC/FINRA advertising guidelines) or demonstrated ability to learn quickly
- Experience with CRM or marketing platforms (Salesforce, HubSpot, Marketo, or similar)
- Background in agency traffic coordination, shared services, internal creative operations, or a formal PMO function
- Experience working in a matrixed organization with multiple internal stakeholder types and senior/executive stakeholders
Compensation Range:
$95,000 - $115,000
