Job Summary

Reporting to the Director of Marketing, this role will help ensure that Prominence’s events, campaigns, and marketing activities are planned thoroughly, executed well, and followed through to completion. 

The Marketing Coordinator will take a lead coordination role for Organic Growth (OG) events, keep campaign activities and deliverables on track, manage the overall marketing calendar, and handle the operational details that keep marketing running smoothly, from vendors and materials to scheduling and tracking. The role partners closely with Sales, Partnerships, and other teams across our healthcare and life science businesses whenever marketing support or participation is needed. 

Marketing strategy is set by the Director of Marketing. The ideal candidate is a strong operational partner: someone who is detail-oriented, anticipates what is needed before being asked, and takes pride in making sure nothing falls through the cracks. 

Key Responsibilities

OG Event Coordination 

  • Serve as the single point of ownership for coordinating OG events, driving the details, timelines, materials, internal coordination, and follow-up needed to execute each event well. 
  • Build and manage event plans and checklists, including key milestones, owners, deadlines, logistics, and deliverables. 
  • Coordinate event logistics such as venues, registration, attendee communications, booth and presentation materials, shipping, travel details, and on-site needs. 
  • Align internal participants, including Sales, Partnerships, leadership, and subject matter experts, so everyone knows their role, schedule, and responsibilities. 
  • Manage post-event follow-up, including lead and contact capture, follow-up communications, recap summaries, and lessons learned to improve future events. 

Campaign Execution Support 

  • Partner closely with the Director of Marketing to execute marketing campaigns, keeping activities, deliverables, and timelines moving. 
  • Track campaign tasks and deadlines, proactively flag risks or delays, and follow up with contributors to keep work on schedule. 
  • Coordinate the production and review of campaign assets such as emails, social posts, webinars, collateral, and website updates. 
  • Support campaign launch readiness by confirming that materials, approvals, audiences, and channels are in place. 
  • Maintain campaign tracking and reporting inputs, including activity logs and Salesforce campaign data where applicable. 

Marketing Calendar & Organization 

  • Own and maintain the overall marketing calendar across events, campaigns, social media, content, and other marketing activities. 
  • Keep the calendar accurate and current so the Director of Marketing and partner teams have clear visibility into upcoming activities and dependencies. 
  • Identify scheduling conflicts, capacity constraints, or gaps and raise them early. 
  • Organize and maintain marketing files, templates, asset libraries, and documentation so materials are easy to find and use. 

Cross-Functional Coordination 

  • Coordinate with Sales, Partnerships, and other teams across Healthcare and Life Science when marketing support or participation is needed. 
  • Serve as a responsive point of contact for marketing requests, helping clarify needs, timelines, and next steps. 
  • Help ensure internal teams are informed about upcoming events, campaigns, and marketing activities that affect them. 
  • Support the timely delivery of materials and information that help partner teams engage customers, prospects, and partners. 

Marketing Operations & Administration 

  • Manage day-to-day coordination with marketing vendors, including requests, quotes, timelines, deliverables, and invoices. 
  • Order, track, and manage marketing materials, printed collateral, and promotional items, including inventory and shipping. 
  • Schedule meetings, reviews, and working sessions in support of marketing activities. 
  • Track marketing spend, purchase requests, and activity against plan in partnership with the Director of Marketing. 
  • Identify opportunities to improve marketing processes, checklists, and workflows so work runs more efficiently over time. 

Requirements

Qualifications 

  • 2–4 years of experience in marketing coordination, event coordination, project coordination, or a related operational role, preferably in a B2B, professional services, healthcare, life science, or technology environment. 
  • Demonstrated experience coordinating events, conferences, or programs with many moving parts, stakeholders, and deadlines. 
  • Experience supporting marketing campaigns or content production from planning through launch and follow-up. 
  • Experience working with vendors, managing orders, and tracking deliverables and budgets. 
  • Proficiency with Microsoft 365 or Google Workspace, project management tools, and virtual collaboration tools. 
  • Experience with Salesforce, marketing automation, social media scheduling, or content management tools is a plus. 
  • Healthcare or life science industry experience preferred. 
  • Bachelor’s degree in marketing, communications, business, or a related field, or equivalent experience. 
  • Experience working successfully in a remote environment preferred.
