Summary:

The Marketing Coordinator serves as a key support role within the Marketing and Communications team at Omaha's Henry Doorly Zoo & Aquarium and Lee G. Simmons Wildlife Safari Park. Reporting to the Marketing Operations Manager, this position provides administrative and execution support to the Marketing and Communications team under the direction of the Marketing Operations Manager.

Working across marketing, communications, creative, digital marketing, and operational initiatives, the Marketing Coordinator supports assigned marketing projects and deliverables. Responsibilities include coordinating projects, assisting with digital marketing initiatives such as email marketing, website content updates, digital signage, and other digital channels, maintaining marketing assets, compiling reporting, and providing administrative support that enables the team to execute high-quality work efficiently. Under the direction of department leadership, this position provides support on assigned projects and tasks while adjusting priorities as needed to meet departmental objectives and the evolving needs of the team.

Duties and Responsibilities (include but not limited to):

Marketing Operations and Project Assistance

  • Provide administrative and execution support for assigned marketing and communications projects and activities across digital marketing, social media, public relations, internal communications, and traditional marketing channels.
  • Support the planning, preparation, scheduling, and coordination of marketing and communications content and campaign deliverables. 
  • Assist with proofreading, formatting, reviewing, and preparing marketing and communications materials.
  • Assist with routine content updates and publishing for email marketing, website content, digital signage, and other digital communication channels using established processes and templates.
  • Assist with scheduled social media publishing, monitoring and responding to social media interactions using established guidelines, and compiling routine social media performance reports.
  • Help maintain content calendars, campaign schedules, and project timelines to support timely execution.

Marketing Execution and Team Support

  • Assist with organizing incoming marketing and communications requests, maintaining related project information, and supporting the department's project intake process.
  • Maintain project documentation, meeting notes, action items, and departmental records to support efficient project execution. 
  • Provide project and administrative support by scheduling meetings, organizing project materials, tracking deliverables, and assisting with follow-up activities. 
  • Support coordination with internal teams, vendors, and agency partners as directed. 
  • Maintain assigned project information, templates, and documentation in accordance with established department processes.

Content and Asset Management

  • Support the organization and maintenance of marketing assets, templates, brand resources, and content libraries following established department standards and practices. 
  • Assist with the collection, organization, and distribution of creative assets through digital asset management systems. 
  • Assist with the planning and coordination of photo and video shoots, including logistics, scheduling, and onsite support. 
  • Support the development and maintenance of presentations, reports, and other branded marketing and communications materials. 
  • Review marketing and communications materials for consistency with established brand standards and editorial guidelines prior to publication or distribution. 

Reporting and Administrative Support

  • Assist with campaign reporting and performance tracking across marketing and communications initiatives. 
  • Assist with compiling basic campaign and performance data and preparing routine reports from GA4, social media analytics, and other marketing technology platforms for review.
  • Support vendor administration, invoice processing, purchase requests, budget documentation, and other departmental administrative activities. 
  • Assist with routine administrative tasks related to marketing technology, campaign tracking, QR code management, and other operational tools.
  • Provide general administrative and project support for departmental initiatives, meetings, and special projects.

Knowledge, Skills, and Abilities:

  • Proficiency in Microsoft Office Suite, including PowerPoint, Word, Excel, and Outlook.
  • Ability to create and maintain branded presentations, templates, and marketing and communications materials using Canva and similar design tools.
  • Familiarity with project management principles and experience using project and workflow management platforms such as Monday.com, Asana, Trello, Wrike, or similar tools.
  • Ability to manage multiple projects, priorities, and deadlines while maintaining organized workflows and documentation.
  • Strong interpersonal skills with the ability to collaborate effectively across departments and with external partners.
  • Familiarity with email marketing platforms, web analytics, social media management, and reporting tools, including Google Analytics 4 (GA4) and similar marketing technologies.
  • Strong written and verbal communication skills with exceptional attention to detail, editing, and proofreading abilities.
  • Ability to adapt to changing priorities and support a variety of marketing and communications initiatives in a fast-paced environment.

Supervisory Responsibilities:

  • This position does not supervise staff. The Marketing Coordinator collaborates with internal stakeholders and external partners as directed and may coordinate assigned projects and activities.

Required Experience and Qualifications:

  • Associate or Bachelor’s degree in Marketing, Communications, Business Administration, or a related field; or equivalent experience in a marketing, communications, administrative support, or project coordination role.
  • At least one year of relevant experience, or the equivalent of two semesters, supporting marketing, communications, project coordination, or administrative functions through internships, student organizations, volunteer work, part-time employment, or professional roles.
  • Demonstrated organizational, time management, and problem-solving skills, with the ability to coordinate multiple projects, manage competing priorities, and collaborate effectively in a team environment.
  • Experience supporting consumer-facing brands; nonprofit, attractions, hospitality, or agency experience is a plus.
  • Strong organizational, communication, and interpersonal skills with the ability to thrive in a collaborative, fast-paced environment.

Work Environment/Physical Demands:

  • Works in an office setting but frequently conducts on-site visits to both the Zoo and Wildlife Safari Park in Ashland, NE. This may include indoor and outdoor areas.
  • This position typically works regular business hours. Occasional evening, weekend, and holiday work is expected to support special events, marketing initiatives, content creation, social media coverage, media opportunities, and other organizational activities. Flexibility may also be required to respond to time-sensitive communications or unexpected situations outside normal business hours.
  • Position requires occasional lifting and carrying items, equipment, or supplies. Usually, 25lbs or less. 
  • Ability to sit, stand, bend, stoop, crouch, kneel, reach upward, twist, and have good lateral movement.

Travel Required:

  • Ability to travel to attend annual job-related conferences or other zoo-related functions. Travel requirements are less than 5%.

Remote Work:

  • This is to be determined in conjunction with the Department Head and Zoo policy.
