As a Marketing & Communications Coordinator, you'll serve as the day-to-day operational hub of the Marketing & Communications department, coordinating projects, communications, creative requests, and production needs from start to finish. This role works closely with Club departments and external creative partners to manage timelines, gather assets, coordinate revisions, proofread materials, and keep projects moving efficiently. The position requires exceptional organization, attention to detail, follow-through, and a strong service-focused approach. 

What We're Looking For
  • Previous experience in marketing, communications, project coordination, account coordination, or a related field
  • Strong project coordination skills with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills
  • Highly organized, proactive, and detail-oriented with strong follow-through
  • Strong proofreading, quality-control, and customer service skills
  • Ability to collaborate effectively with internal teams and external creative partners
  • A polished, professional, and service-focused approach suited to a luxury, Member-focused environment 
Preferred Qualifications
  • Bachelor’s degree in Marketing, Communications, Business, Public Relations, Hospitality, or a related field
  • Experience working with an external creative agency or outsourced design team
  • Familiarity with project management systems, email marketing platforms, and website content management systems
  • Familiarity with Canva and Adobe Creative Cloud

JOB DETAILSResponsibilities:
  • Manage project workflow, priorities, deadlines, status updates, and follow-up using the department’s project management systems.
  • Serve as the primary liaison with outsourced creative services, coordinating project submissions, assets, proofs, revisions, approvals, and final deliverables.
  • Coordinate the production of marketing materials, including event collateral, signage, menus, Member communications, promotional materials, email marketing, website updates, and digital assets.
  • Proofread and quality-check marketing materials for accuracy, consistency, and completeness.
  • Partner with departments throughout the Club to gather content and information needed for marketing projects and initiatives.
  • Manage daily in-house printing needs, including production schedules, quality control, supplies, equipment maintenance, and coordination with outside print vendors.
  • Maintain organized marketing files, photography, logos, templates, brand assets, and final deliverables.
  • Support efficient marketing processes and identify opportunities to improve workflow, communication, and project coordination.
  • Other duties as assigned by the Director of Marketing & Communications.
Physical Requirements & Working Conditions:
  • Required to lift, carry, push and/or pull up to 25 pounds – Occasionally
  • Required to sit for long periods of time.
  • Required to stand and walk – Occasionally
  • Typical work hours – Monday - Friday, 8:30 am-5:00 pm, additional hours as needed. 30 minutes for lunch.
