What you'll do:
Hardware Lifecycle Management
- Manage the complete hardware lifecycle - from procurement, deployment, and tracking to maintenance, refresh, and retirement/disposal.
- Maintain accurate records of all hardware assets including laptops, desktops, servers, peripherals, and network equipment.
- Define and enforce hardware refresh cycles in alignment with ZS's technology standards and budget cycles.
- Coordinate with IT procurement and finance for hardware sourcing, vendor evaluation, and purchase approvals.
- Ensure proper decommissioning and environmentally compliant disposal (ITAD) of end-of-life assets.
Software Lifecycle Management
- Oversee the full lifecycle of software assets including procurement, deployment, utilization tracking, compliance, and retirement.
- Conduct regular software license audits and reconciliation to ensure compliance with vendor agreements.
- Identify underutilized licenses and optimize the software portfolio to reduce waste and cost.
- Manage software packaging, deployment workflows, and version upgrade planning in coordination with IT operations teams.
SaaS & End-User Software Management
- Serve as the central point of contact for end-user software and SaaS platform needs across the organization.
- Evaluate and onboard new SaaS tools by assessing business need, security posture, and licensing terms.
- Manage SaaS subscriptions, user provisioning/deprovisioning, and utilization reporting.
- Partner with business stakeholders to rationalize the SaaS portfolio and eliminate redundant tools.
- Maintain a healthy pool of pre-purchased licenses for frequently requested software to enable rapid provisioning.
- Set and manage minimum license stock thresholds to prevent fulfillment delays.
- Forecast license demand based on headcount trends, project pipelines, and historical usage patterns.
Renewals Management
- Own the end-to-end renewals calendar for all hardware maintenance contracts and software/SaaS subscriptions.
- Proactively engage internal stakeholders and vendors well in advance of renewal dates to avoid lapses in coverage.
- Evaluate renewal terms, negotiate pricing, and recommend consolidation or discontinuation where appropriate.
- Maintain a renewal tracking system with automated alerts and approval workflows.
Chargeback Management
- Design and administer an IT chargeback / show back model to allocate hardware and software costs accurately to business units.
- Work with Finance and IT leadership to define chargeback policies, cost allocation logic, and reporting cadence.
- Provide monthly/quarterly chargeback reports and resolve billing queries from internal teams.
Asset Inventory & CMDB Accuracy
- Maintain a single, authoritative, and continuously updated asset inventory using an ITSM/ITAM tool (e.g., ServiceNow, Snow Software, Flexera).
- Conduct periodic physical and virtual audits to validate inventory accuracy.
- Integrate asset data with the CMDB (Configuration Management Database) to support incident, change, and problem management processes.
- Define and enforce asset tagging, naming conventions, and classification standards.
Governance & Compliance
- Establish and institutionalize an IT Asset Management (ITAM) governance framework aligned with industry standards (ISO 19770, ITIL).
- Define policies, processes, and controls for asset request, approval, issuance, transfer, and return.
- Ensure compliance with software licensing agreements, audit readiness, and vendor contractual obligations.
- Prepare and present asset management KPIs, dashboards, and reports to IT leadership.
Team Management
- Lead, mentor, and develop a team of IT asset analysts/coordinators.
- Set performance goals, conduct regular reviews, and foster a culture of accountability and continuous improvement.
- Delegate responsibilities effectively and build team capability in ITAM tools and processes.
Stakeholder Collaboration
- Act as a trusted advisor to IT, Finance, Legal, Procurement, and business unit leaders on all asset-related matters.
- Drive cross-functional initiatives to improve asset utilization, reduce costs, and strengthen governance.
Technical Knowledge
- Strong understanding of software licensing models - perpetual, subscription, concurrent, named-user, OEM, and enterprise agreements (Microsoft EA, Adobe VIP, etc.).
- Working knowledge of CMDB (Configuration Management Database) and its integration with ITAM tools.
- Familiarity with IT security principles as they relate to asset tracking, data wiping, and secure disposal (ITAD).
- Understanding of networking fundamentals - enough to track and manage network-attached hardware assets.
- Proficiency in data analysis tools - advanced Excel is a must; Power BI or Tableau is a strong plus.
Certifications
Candidates are expected to hold at least one core IAITAM certification, with the preferred progression being CSAM (software licensing & compliance) and CHAMP (hardware lifecycle management) leading up to the flagship CITAM (Certified IT Asset Manager) credential. Complementary certifications in ITIL v4 Foundation, CAMSE (ITAM + cybersecurity), and familiarity with ISO/IEC 19770-1 standards are strongly preferred
Other Preferred Experience
- Exposure to FinOps principles and cloud asset management (AWS, Azure, GCP).
- Experience in professional services, consulting, or technology company environment.
- Experience with SOX, GDPR, or similar compliance audits as they relate to IT assets.
- Knowledge of responsible IT Asset Disposal (ITAD) practices and environmental regulations (e-waste).
What you'll bring:
Education
- Bachelor's degree in information technology, Computer Science, Business Administration, or a related field. A master's degree (MBA or MS in IT) is a plus.
Experience
- 10-12 years of progressive experience in IT Asset Management
- Minimum 2-3 years of supervisory or team leadership experience.
- Demonstrated experience managing end-to-end hardware and software lifecycles in a mid-to-large enterprise environment.
- Hands-on experience with ITAM/ITSM platforms such as ServiceNow SAM, Snow Software, Flexera, Ivanti ITAM Suite, or Lansweeper.
- Proven experience in SaaS portfolio governance, including vendor onboarding, subscription management, and utilization reviews.
- Experience designing and administering IT chargeback/show back models in collaboration with Finance.
- Track record of managing software license compliance and successfully navigating vendor audits (Microsoft, Adobe, Oracle, etc.).
- Experience with hardware refresh programs and OEM vendor management (Dell, HP, Lenovo, Apple)
