Import Export Manager (M1)

Führung und Teammanagement

  • Führung, Coaching und Weiterentwicklung des Import- & Export-Teams einschliesslich Leistungsmanagement, Nachfolgeplanung und Mitarbeitendenentwicklung.

  • Festlegung klarer Ziele, Prioritäten und einer ausgewogenen Aufgabenverteilung zur optimalen Nutzung der verfügbaren Ressourcen.

  • Sicherstellung einer bedarfsgerechten Personalausstattung, eines zeitgerechten Onboardings sowie der kontinuierlichen Kompetenzentwicklung

  • Förderung einer kollaborativen, leistungsorientierten und compliance bewussten Teamkultur.

Verantwortlichkeiten

  • Verantwortung für die gesamtheitliche Steuerung der Import- und Exportprozesse für nationale und internationale Sendungen.

  • Sicherstellung der termingerechten und GMP-/GDP-konformen Organisation temperaturgeführter Transporte per Luft- und Landfracht.

  • Sicherstellung der Erstellung und Prüfung von Versanddokumentationen unter Berücksichtigung der globalen Anforderungen der Trade Compliance.

  • Überwachung von Zollabwicklungsprozessen, Anweisungen an Zollbroker sowie der Verwaltung von Vollmachten (Power of Attorney).

  • Überwachung von Sendungsströmen, Engpässen und operativen Leistungskennzahlen zur Gewährleistung einer zuverlässigen Abwicklung.

Prozessharmonisierung und kontinuierliche Verbesserung

  • Förderung der Harmonisierung von Import- und Exportprozessen innerhalb des Teams sowie mit relevanten Stakeholdern.

  • Identifizierung von Möglichkeiten zur Innovation, Vereinfachung von Arbeitsabläufen und Beseitigung von Hindernissen für das Team.

  • Unterstützung von Veränderungsinitiativen sowie kontinuierliche Verbesserung von Prozesseffizienz, Durchlaufzeiten und Servicequalität.

Kommunikation und Eskalationsmanagement

  • Sicherstellung einer zeitnahen Kommunikation und Eskalation von Problemen, Verzögerungen und kritischen Situationen an Management und relevante Stakeholder.

  • Leitung von Teammeetings zur Besprechung von Eskalationen, Arbeitsauslastung, Prioritäten und relevanten allgemeinen Informationen.

  • Gewährleistung eines effektiven Informationsflusses zwischen Management und operativem Team.

Compliance, Reporting und Leistungsüberwachung

  • Sicherstellung der Einhaltung von GMP-, GDP-, Global Trade Compliance- sowie weiterer regulatorischer Anforderungen.

  • Unterstützung interner und externer Audits sowie der daraus resultierenden CAPA-Massnahmen.

  • Erstellung relevanter Statistiken und Berichte zur Dokumentation der Leistungsfähigkeit und Effizienz des Fachbereichs.

  • Überwachung von Leistungskennzahlen, einschliesslich termingerechter Lieferungen, Compliance-Kennzahlen und prognosebezogener Metriken.

  • Unterzeichnung von Dokumenten sowie Durchführung autorisierter Korrekturen im Namen direkter Mitarbeitender entsprechend der erteilten Befugnisse.

Voraussetzungen/Kompetenzen:

  • Abgeschlossenes Studium oder gleichwertige Ausbildung in Supply Chain Management, Logistik, Außenhandel, Betriebswirtschaft, Wirtschaftsingenieurwesen oder einem vergleichbaren Fachgebiet, auf Stufe Bachelor, MAS, HF oder vergleichbarer Weiterbildung.

  • Mindestens 5 Jahre relevante Berufserfahrung im Import-/Export-, Zoll-, Trade-Compliance-, Logistik- oder Supply-Chain-Umfeld, idealerweise in einem internationalen und regulierten Industrie- oder Pharmaumfeld.

  • Nachweisbare Führungs-, Projektleitungs- oder Koordinationserfahrung mit der Fähigkeit, operative Teams zu steuern, Prioritäten zu setzen und bereichsübergreifende Themen eigenverantwortlich voranzutreiben.

  • Fundierte Kenntnisse in Import- und Exportprozessen, Zoll- und Außenwirtschaftsrecht, Trade Compliance, Incoterms, Ursprungs- und Präferenzthemen, Exportkontrolle sowie Versand- und Zolldokumentation.

  • Ausgeprägte Teamfähigkeit, Sozialkompetenz und Kooperationsbereitschaft sowie die Fähigkeit, Mitarbeitende und Schnittstellenpartner konstruktiv einzubinden und eine vertrauensvolle Zusammenarbeit zu fördern.

  • Gutes Verständnis von GMP-/GDP-Anforderungen, Qualitätssystemen, Abweichungs-, CAPA- und Change-Control-Prozessen sowie regulatorischen Erwartungen in einem compliance-orientierten Umfeld von Vorteil.

  • Sicherer Umgang mit MS Office, Erfahrung mit Datenanalyse, KPI-Reporting und Prozessmonitoring von Vorteil.

  • Ausgeprägte analytische Fähigkeiten, strukturierte Arbeitsweise sowie hohe Problemlösungs- und Entscheidungskompetenz, auch unter Zeitdruck und bei operativen Eskalationen.

  • Sehr gute Deutschkenntnisse sowie sehr gute Englischkenntnisse in Wort und Schrift, mindestens auf Niveau C1.

Leadership and Team Management

  • Monitoring shipment flows, bottlenecks, and operational performance indicators to ensure reliable execution.

Process Harmonization and Continuous Improvement

  • Promoting the harmonization of import and export processes within the team and with relevant stakeholders.

  • Identifying opportunities for innovation, simplification of workflows, and removal of obstacles for the team.

  • Supporting change initiatives and continuously improving process efficiency, lead times, and service quality.

Communication and Escalation Management

  • Ensuring timely communication and escalation of issues, delays, and critical situations to management and relevant stakeholders.

  • Leading team meetings to discuss escalations, workload, priorities, and relevant general information.

  • Ensuring an effective flow of information between management and the operational team.

Compliance, Reporting, and Performance Monitoring

  • Ensuring compliance with GMP, GDP, Global Trade Compliance, and other regulatory requirements.

  • Supporting internal and external audits as well as resulting CAPA measures.

  • Preparing relevant statistics and reports to document the performance and efficiency of the function.

  • Monitoring performance indicators, including on-time deliveries, compliance metrics, and forecast-related metrics.

  • Signing documents and performing authorized corrections on behalf of direct reports in accordance with granted authorities.

Requirements/Competencies:

  • Completed degree or equivalent education in Supply Chain Management, Logistics, Foreign Trade, Business Administration, Industrial Engineering, or a comparable field, at Bachelor, MAS, HF level or with comparable further education.

  • At least 5 years of relevant professional experience in import/export, customs, trade compliance, logistics, or supply chain, ideally in an international and regulated industrial or pharmaceutical environment.

  • Proven leadership, project management, or coordination experience with the ability to manage operational teams, set priorities, and independently drive cross-functional topics.

  • Sound knowledge of import and export processes, customs and foreign trade law, trade compliance, Incoterms, origin and preference topics, export control, and shipping and customs documentation.

  • Strong team orientation, social competence, and willingness to cooperate, with the ability to constructively involve employees and interface partners and promote trustful collaboration.

  • Good understanding of GMP/GDP requirements, quality systems, deviation, CAPA, and change control processes as well as regulatory expectations in a compliance-oriented environment is an advantage.

  • Confident use of MS Office; experience with data analysis, KPI reporting, and process monitoring is an advantage.

  • Strong analytical skills, structured way of working, and high problem-solving and decision-making competence, also under time pressure and during operational escalations.

  • Strong German and English language skills, both written and spoken, preferably at C1 level or above.
