Title:  Manager, Executive Support, PPI Team

Position: Full time, Exempt

Team: Philanthropic, Partnerships and Influence (PPI) Team

Location: Remote, Anywhere in the United States, Africa, Asia and the Pacific, or Latin America and Caribbean must allow for significant overlap (at least 5 hours/day) with GMT-5.

Travel: Up to 10%

Position Reports to: Vice President, PPI

Compensation: $97,000 USD annually

Benefits: 

  • Health, Dental, and Vision cost reimbursement or stipend for employee + dependents, and out of country medical travel insurance for employee 
  • 10 paid annual holidays + open paid time off policy allowing flexible time off with supervisor pre-approval 
  • Up to 16 weeks of paid parental leave
  • Up to $1,000 stipend to set up work space
  • Up to $2,000 per fiscal year in wellness stipend, $1,500 per fiscal year for work from home expenses, and up to $2,000 per fiscal year for learning and professional development after successful completion of probation period
  • Retirement contribution paid monthly as a 4% salary boost 
  • Possibility of sabbatical leave after seven years of employment

ABOUT THE ROLE

The Manager, Executive Support, Philanthropic Partnerships & Influence provides high level, proactive operational support for the Vice President of Philanthropic Partnerships & Influence (PPI). The role facilitates fluid relationship management and communications with both external and internal stakeholders. Through a nuanced understanding of the VP’s priorities and work orientations, the Manager, Executive Support, Philanthropic Partnerships & Influence enables strategic leadership and impactful philanthropic partnerships. The role requires an ability to anticipate needs, strong writing, sound judgment, and operational discipline.

KEY RESPONSIBILITIES

Executive Operations and Communications (30%) 

  • Exceptional written communication skills, with the ability to draft clear, concise, and well-judged correspondence on behalf of senior leaders
  • Proactively manage the calendar of the Vice President of PPI, responding to and initiating scheduling requests as required; staying mindful of the desired rhythm and priorities established by the VP
  • Track and offer reminders to the Vice President of PPI regarding upcoming commitments and responsibilities, following up appropriately. 
  • Triage inbox, draft, proof and follow-up on correspondence on behalf of the VP.
  • Maintain Salesforce records across the VP’s portfolio. 
  • Prepare briefing documents ahead of key meetings (both internal and external). 
  • Plan and run meeting logistics, participating in meetings as required to capture decisions, and next steps. Initiate agreed-upon follow-up.
  • Support regular communication from the Vice President of PPI to the PPI team and full staff as relevant for intra and cross team collaboration.

Strategic Project Management  (30%)

  • Manage VP project engagement, tracking and supporting tasks, timelines, ensuring weekly updates. 
  • Proactively suggest, schedule coordination sessions as needed to facilitate alignment, and decision-making for priority projects.  
  • Maintain document management systems and updates on databases based on organizational data retention conventions.
  • Develop and manage contracts and payments for consultants managed by the VP.
  • Manage renewal of organizational memberships for publications, membership organizations, and networks identified as priority for PPI.
  • As needed, support special projects assigned by the Vice President of PPI 
  • Manage sensitive matters with a high level of confidentiality and discretion
  • Proactively identify opportunities for strengthening and streamlining workflows, administrative  and project management processes in the team and organization

Conferences, Meetings, and Travel (30%)

  • Build conference and meetings calendars for the VP aligning to the purpose for each space
  • Prepare pre-conference and meetings intelligence packages: contact background, key talking points, and relevant context for priority meetings.
  • Manage conference and travel logistics: registration, scheduling, accommodation, transport, and visa support for the VP.
  • Submit and manage credit card expense reports, and expense reimbursement requests. 
  • Track post-conference and meetings follow-through, ensuring that commitments made at events are honored.
  • Manage PPI’s memberships and registrations for relevant networks and spaces.

Organizational Collaboration: 10%

Along with all staff, this position contributes to Thousand Currents’ culture of collaboration, shared accountability, learning, and care.

  • Show up fully for organizational activities, including staff meetings, retreats and training.
  • Work collaboratively with colleagues as necessary for cross program activities and functions;
  • Support organization-wide activities, such as the Thousand Currents Academy, annual events, etc.
  • Manage regular personal administration, including timely submission of receipts, reimbursement requests, scheduling, travel planning, filing HR paperwork etc.
  • Model Thousand Currents’ values, contributing to a positive organizational culture

Role Requirements

  • Deep alignment with Thousand Currents’ values and mission, including a strong commitment to social and/or environmental justice and equity.
  • Extensive experience in an executive support role, preferably for an executive holding fundraising responsibilities. 
  • Ability to take reasonable initiative in a fast-paced environment and adapt to changing priorities
  • Ability to manage up to ensure solid alignment on priorities and expectations
  • Excellent organizational and time management skills; proven ability to meet deadlines.
  • Occasional flexibility to respond to time-sensitive needs outside of standard business hours
  • Strong communication and interpersonal skills, including ability to communicate comfortably with staff at all levels.
  • Attention to detail and diligent on following through on both communication and action steps
  • Proficiency in Google Suite, Asana and Slack. Salesforce proficiency is an asset.
  • Timezone of residence must allow for significant overlap (at least 5 hours/day) with GMT-5.
  • High learning orientation, sound judgment, attention to detail, and openness to feedback.
  • Ability to thrive in a fast-paced, dynamic, remote, and geographically dispersed work environment.
  • Excellent internal communication and collaboration skills across teams and time zones.
  • Ability to travel domestically and internationally as needed.

Physical Requirements

The physical demands of this position are light and may require walking or standing to a significant degree.  The position requires frequent computer use at a workstation. As Thousand Currents staff work in a number of locations and come together for meetings on occasion, all staff must be able to travel by car and plane to meetings at locations nationally and internationally. Availability to travel and maintenance of a valid passport is required. National or international travel represents up to 10% of the time for this position.
