What we’re looking for

We’re hiring a Manager, Corporate Administration & Business Operations, who will support the administrative and operational needs of the company while ensuring our corporate headquarters operations run smoothly. You will work closely with the CFO, Chief Administration Officer, Director of Legal and Compliance and other leaders on a variety of corporate administrative and operational matters.

This is a hands-on role that includes both oversight and involvement with various corporate and business-related activities, including business license registration & compliance, maintaining accurate corporate recordkeeping, providing contract and other business-critical support as well as providing back-up support to the Travel Department.

This is a position of trust and discretion, with access to confidential business information and frequent interaction with internal departments, vendors, and external business partners. This role requires a business-minded professional with exceptional organizational skills, sound judgment, attention to detail, and the ability to work independently while meeting strict deadlines.

This position is based in our Sarasota office and requires in-office five days per week.

What you’ll do

Corporate Entity Administration

  • Maintain oversight of corporate records and documentation for multiple legal entities and EINs.
  • Maintain accurate information regarding legal entity names, EINs, addresses, officers, registered agents, jurisdictions, and other key corporate information.

  • Work with appropriate legal, finance, tax, and other resources on matters requiring specialized expertise.

Business Licensing & Registrations

  • Oversee and track business licenses, registrations, permits, and renewals across multiple entities, locations, and jurisdictions.
  • Establish and maintain effective tracking systems and calendars to ensure deadlines are identified and addressed.
  • Coordinate the collection of information and documentation required for applications, registrations, and renewals.
  • Communicate with government agencies and other organizations to obtain information, clarify administrative requirements, and resolve routine matters.
  • Monitor outstanding items and proactively follow up to ensure timely completion.
  • Identify potential issues or delays and escalate them appropriately.

Contract & Document Administration

  • Maintain oversight of the company's centralized contract records and related documentation.
  • Track agreement status, renewals, expiration dates, signatures, and other key contractual milestones.
  • Coordinate the routing of contracts and agreements for internal review, approval, and signature.
  • Ensure executed agreements and supporting documentation are properly maintained.
  • Assist business leaders with locating and understanding existing contractual documentation.
  • Identify upcoming renewals, expirations, or other contractual matters requiring management attention.

Confidentiality & Risk Awareness

  • Handle confidential, sensitive, and proprietary information with a high degree of discretion.
  • Recognize issues that may present business, contractual, legal, or compliance implications and escalate them to the appropriate resource.

Corporate Headquarters Operations

  • Oversee day-to-day administrative operations of the corporate headquarters, ensuring a professional, organized, and well-functioning office environment.
  • Manage front-office activities, including welcoming visitors, answering and appropriately routing incoming telephone calls, and overseeing corporate correspondence and deliveries, with appropriate attention to time-sensitive and confidential matters.
  • Coordinate office services and resources, including supplies, shipping and courier services, conference room scheduling, meeting readiness, and other operational needs.

Corporate Travel

  • Provide back-up support to the travel team and participate in coordinating & booking employee business travel while ensuring compliance with company policies.
  • Maintain accurate travel documentation and credit tracking, monitor for policy exceptions or unusual costs, and escalate complex or unresolved issues to the appropriate Travel Department representative.

Qualifications

  • Bachelor's degree in business administration, management, or a related field preferred; equivalent professional experience will be considered.
  • 10+ years of progressively responsible experience in business administration, corporate operations, contract administration, corporate services, legal administration, or a related environment.
  • Demonstrated ability to work with confidential and sensitive business information.

  • Excellent written and verbal communication skills.
  • Strong critical-thinking and problem-solving abilities.
  • Ability to effectively interact with senior leadership, internal departments, government agencies, vendors, and external business partners.
  • Ability to understand the broader business context of an assignment rather than simply completing individual administrative tasks.
  • Proficient in Microsoft Office Suite and comfort working with electronic document management and tracking systems.

What to expect

This is a hands-on business operations role that combines ownership of important corporate administrative processes with day-to-day execution. You’ll manage a varied workload that may include corporate records, licenses and registrations, contracts, employee travel, headquarters operations, and special projects. Success in this role requires strong organization, initiative, attention to detail, and the judgment to recognize priorities, anticipate needs, and escalate issues appropriately.
