Job Description: At Pathstone, we are in service of our clients’ preferred life, always. And in all ways. Client Transitions sits at one of the most consequential moments in a client relationship. New beginnings, complex changes, sensitive transitions, and loss. The Client Transitions Manager plays a central role in ensuring these moments are handled with clarity, precision, empathy, and forward momentum. This role is for someone who takes pride in doing hard operational work exceptionally well, while never losing sight of the human experience behind it.
The Client Transitions Manager is a hands-on project management and operational leadership role responsible for executing and orchestrating client onboarding, offboarding, and deceased client transitions. This role includes the day-to-day delivery of complex, time-bound transition work across multiple internal service lines. The Manager is expected to lead with foresight, execute with discipline, and accompany advisors and internal teams through each transition with confidence and care. This is not a theoretical role. It requires direct financial services operations experience and a bias toward action.
This is a delivery focused project management role grounded in financial services operations. The Manager is expected to lead, execute, and own transition work directly while helping build the foundation for future scale and delegation.
Key Responsibilities:
Project Management and Execution of Client Transitions:
- Manage a high-volume portfolio of active onboarding, offboarding, and deceased client transitions concurrently.
- Own project plans, sequencing, dependencies, and timelines for each transition.
- Lead preparation, execution, and follow through for transition-related meetings and milestones.
- Draft agendas, coordinate pre work, and prepare materials for onboarding and transition calls.
- Lead onboarding and transition calls as needed, setting clear objectives and outcomes. Prepare, refine, and circulate post call summaries with clear action items and ownership
- Conduct regular follow ups to ensure accountability, progress, and resolution.
This role is expected to actively execute and manage transition work, not simply oversee it.
Operational Orchestration Across Service Lines:
- Coordinate work across advisory, reporting, risk management, capital markets, tax, and operations teams.
- Understand how operational dependencies impact timing, risk, and client experience.
- Surface blockers early and drive resolution through the appropriate subject matter experts.
- Maintain momentum without overstepping service line expertise.
Financial Services Operational Fluency:
- Apply hands-on knowledge of financial services operations to guide project execution.
- Demonstrate familiarity with custodian account openings, banking and brokerage account setup, and operational documentation.
- Understand the lifecycle of investment accounts, private investments, and supporting legal requirements.
- Navigate internal systems such as Salesforce and reporting platforms to track readiness and approvals.
- Translate complex operational workflows into clear, executable steps.
This role requires the ability to hit the ground running in a financial services environment.
Quality, Consistency, and Scale:
- Apply Client Transitions frameworks and best practices consistently.
- Maintain high standards for preparedness, communication, and follow through.
- Identify recurring friction points and contribute ideas to improve workflows and tools.
- Partner with the Director to strengthen metrics, playbooks, and operating discipline.
Required Experience and Qualifications:
- Bachelor’s degree in business administration, finance, economics, or a related field required, advanced coursework or credentials a plus.
- Direct financial services operations experience.
- Minimum of 5 years in financial services operations, client service operations, or a related role.
- Hands-on exposure to account openings, custodian workflows, and back-office processes.
Project Management Execution Capability:
- Proven experience managing multiple complex projects simultaneously.
- Comfort operating in fast paced, high volume environments.
- Strong prioritization and organizational discipline.
Leadership and Communication:
- Experience leading meetings and cross-functional discussions.
- Ability to influence without formal authority.
- Clear and thoughtful written and verbal communicator.
What Success Looks Like in the First Year:
- Independently manages active transition projects.
- Leads onboarding calls with confidence and clarity.
- Build trust with advisors and internal partners.
- Manages high transition volume with consistency and control.
- Anticipates issues and reduces rework through proactive execution.
- Begins mentoring and delegating select tasks appropriately.
- Acts as the primary operational project management owner for Client Transitions.
- Contributes meaningfully to workflow improvement and standardization.
- Enables the Director to focus on strategy, metrics, and evolution of the function.
Pay Transparency:
Pathstone’s expected starting base compensation range for the position as of the time of this posting is $82,000 - $85,000 per year. The actual base compensation selected for this role will be set based on a variety of factors, including (but not limited to) experience, education, specialty and training. The successful candidate(s) may also be eligible for a discretionary bonus award.
