Role summary
The Logistics Coordinator is responsible for managing end‑to‑end import, export and domestic logistics for Stone Wool Panels, Grid Systems, and Specialty Ceiling products, ensuring compliance with customs and regulatory requirements, maintaining shipment tracking and KPI reporting, supporting freight invoice reconciliation, and coordinating cross‑functional activities to meet customer and operational requirements. This role provides backup coverage for other logistics functions and leads daily supply‑chain communications.
Key Result Areas
Manage import/export compliance across manufacturing sites, distribution centers, vendors and OPCOs.
Own shipment tracking, KPI maintenance, ETA communication, and cost updates to support accurate invoicing and month‑end reporting.
Ensure customs and regulatory compliance, including tariff coding and documentation to minimize delays and extra costs.
Support freight invoice accuracy and reconciliation with forwarding partners and internal finance.
Provide operational backup and lead daily/weekly communications to drive on‑time shipment performance.
Key Responsibilities
Maintain a single, authoritative import/export manual and SOPs containing processes, partner contacts, and compliance checklists.
Maintain and update tracking logs and KPI files for all container, air and domestic shipments (including inbound shipments from CIG and domestic shipments from MAR); update ETA/arrival dates, GR dates and final cost information; proactively communicate changes to Planning, Warehouse and Customer Service.
Coordinate with forwarding partners for all container and air movements; manage container activity, booking follow‑up, and exception handling.
Partner with the Logistics Lead to review, reconcile and validate freight invoices prior to payment; update ocean freight cost files for month‑end finance reporting.
Manage transport claims and damage disputes for CIG and MAR shipments; drive resolution and recovery.
Coordinate disposition of expedited items with planners and warehouse teams to meet customer commitments.
Prepare and present shipment performance data; attend weekly On‑Time Shipment meetings and lead daily supply‑chain calls, providing root‑cause analysis for exceptions.
Provide backup coverage for logistics coordinators, team leads and the Transport Planner as required.
Ensure all logistics activities comply with company safety protocols and applicable regulations.
Perform additional reasonably related tasks as assigned by the manager.
Key Support & Collaboration
Act as the primary liaison between Logistics and internal stakeholders (Planning, Sales, Purchasing, Customer Service, Quality, Production, Finance) and external partners (forwarders, carriers).
Lead or support cross‑functional meetings to align priorities and resolve shipment issues.
What you bring:
0 to 1 + years of experience in Logistics, Business Management, Supply Chain Management, or a related field
Proficient in MS Office programs, specifically Excel and Outlook
Written & spoken English language to a high professional business level
Strong problem solver and has attention to detail
Plans and organizes own day efficiently
Skills & Competencies
Strong organizational skills with attention to detail and accuracy.
Excellent communication skills—able to coordinate across functions and with external partners.
Problem solving and root‑cause analysis capabilities.
Proficiency with MS Excel and shipment/ERP tracking systems; experience with TMS/ERP is a plus.
Ability to prioritize, manage multiple tasks and work under deadlines.
Knowledge of safety and regulatory requirements for import/export operations.
